Description:

Chelsea Lighting is seeking a highly qualified and experienced Assistant Project Manager to join our team of lighting and controls distribution professionals.

Qualifications:

  • Two (2) years of lighting or general construction experience in Project Management is required.
  • College Graduate – four-year preferred
  • The ideal candidate must have strong time management, problem-solving, interpersonal, and organizational skills, and utilize these skills in a demanding, multi-tasking environment.
  • Must have a thorough understanding of the submittal process, vendor relations, and project management.
  • Be able to manage multiple projects with multiple clients and schedules simultaneously.
  • Must have the ability to effectively liaise with clients and cross-functional departments in the aggressive resolution of problems to drive timely payments for products and services rendered.
  • Must have experience interpreting construction drawings, specifications, architectural sketches, and other related construction documents including detailed take-offs, and be able to teach others.
  • Proficient in MS Office Suite (Excel/Word/PowerPoint/Outlook), Adobe Pro, and Smartsheet
  • Knowledge of Oasis, OnScreen Takeoff, and Sage/MAS is a plus
  • Strong quantitative and analytical skills.
  • Proactive and concise written and verbal communications.
Requirements:

Job Responsibilities:

  • Assist in all facets of the Project Management team:
  • Submittals, Order Entry, Shop Drawings, Required to Release, Release, Regular Status Reports, Logistics Management, Billing & Requisitions, and Collections.
  • Primary liaison with client’s construction team and manufacturers.
  • Coordinate scope, product approval, storage and/or delivery requirements, and construction schedule.
  • Assist in the management of project planning and reporting in an accurate and timely manner:
  • Status Reports
  • Profitability - Change Orders and Logs for all jobs
  • Returns for damaged, defective, and/or incorrect materials
  • Metrics - Weekly and Monthly
  • Job Site Visit and Project Kickoff Log
  • Attend all Kickoff meetings, regular job site visits, and send weekly status reports to customers.
  • Assist in facilitation of conflict and Back-Charge resolution with clients.
  • Partner with Client’s to ensure construction schedule adherence, identify and resolve problems proactively, and escalate concerns to the Senior Project Manager team when necessary.
  • Set up and maintain project folders for project managers (paper and electronic)
  • Order entry including transmitting both vendor orders and customer acknowledgments
  • Assist the Project Management Team with Change Orders, Field Measurements, Drawings, Submission Follow Up, etc.
  • Daily contact with manufacturer’s reps to verify receipt of order/releases, expedite shipments as required and obtain ship dates.
  • Coordinate deliveries to job sites with dispatchers and job site personnel; obtain POD’s.
  • Work with the accounting department to ensure proper invoicing and billing.
  • Perform ad hoc job assignments as assigned by the management team.
