Job Description

About The Personal Injury Pros

The Personal Injury Pros is a multi-jurisdiction personal injury law firm founded in 2013, with our main office in Las Vegas, Nevada. Over the years, we’ve grown from a local practice into a team of attorneys and legal professionals serving clients across multiple states and Washington, D.C.

We represent people who have been hurt in car, truck, motorcycle, bicycle, pedestrian, and rideshare accidents, as well as slip and fall, premises liability, and catastrophic injury cases. The work matters, and our team treats it that way. We keep clients informed, answer their questions clearly, and fight for fair outcomes every step of the way.

What sets us apart is our people. We’re a collaborative, hands-on group that values clear communication, accountability, and genuine care for the clients we serve.

As we continue to grow, we’re looking for dedicated professionals who want to build a career at an established, respected firm. If you’re ready to do work that makes a real difference in people’s lives, we’d love to hear from you.

ABOUT THE ROLE

Our busy personal injury law firm is looking for an organized and detail-oriented Records Specialist

to obtain and manage the medical records and billing that drive our clients’ cases. You will play a

critical role in building each case — requesting, tracking, and following up on records from

hospitals, clinics, and providers so that our attorneys have complete documentation when they

need it. If you are a persistent, dependable self-starter who takes pride in getting the job done right,

this role is for you.

KEY RESPONSIBILITIES

  • Request medical records and itemized billing from hospitals, clinics, physicians, chiropractors, and other treating providers by phone, fax, mail, email, and online portals
  • Prepare and send HIPAA-compliant authorizations and records requests, and track each request from submission through receipt
  • Follow up persistently with providers to ensure records are received in a timely manner, and escalate delays to the case team
  • Review incoming records and bills for completeness and accuracy, identifying missing pages, treatment dates, or providers
  • Accurately log, organize, and upload records into the firm’s case management system and maintain up-to-date request status on every file
  • Coordinate with case managers and attorneys to prioritize urgent requests, such as records needed for demand letters, mediation, or litigation deadlines
  • Track and report records metrics, including outstanding requests, turnaround times, and provider follow-up activity
  • Maintain strict confidentiality and handle all protected health information with the highest level of professionalism

QUALIFICATIONS

  • Prior experience in a law firm, medical office, records retrieval, or administrative environment preferred
  • Familiarity with medical terminology, HIPAA requirements, and personal injury case workflows is a plus
  • Excellent communication skills — you are professional, courteous, and persistent when working with provider offices
  • Strong organizational skills with meticulous attention to detail
  • Ability to manage a high volume of open requests and deadlines while maintaining accuracy and composure
  • Self-motivated with the follow-through to keep requests moving until the records are in hand
  • Proficiency with computers; experience with legal case management software is a plus
  • Reliable, punctual, and committed to representing the firm with integrity
  • Bilingual Spanish/English is a strong plus

SCHEDULE & LOCATION

  • Monday through Friday, 8-hour shifts
  • Full-time, in-person position — remote work is not available
  • Located downtown (zip code 89104)
