Position Summary

The Sales Support and Outreach Coordinator supports Phoenix Manufacturing’s sales team through accurate quoting, trade show coordination, literature updates, and organized administrative follow-through. Approximately 50% of the role focuses on administrative and sales support, 30% on outbound calls to warm up engineering, architect, and owner leads, and 20% on customer experience support. This is primarily a sales support and lead development role, rather than a dedicated customer service position.

The coordinator helps keep sales activities moving, ensures customers and prospects receive clear and timely information, and maintains accurate records in ERP systems. The role combines attention to detail, proactive follow-up, and a customer-focused approach to connect interested prospects with the sales team and support consistent experience from inquiry through follow-through.

Primary Responsibilities

Administrative and Sales Support — 50%

  • Prepare quotes using approved pricing and information supplied by the sales team; confirm details and route exceptions for approval.
  • Track quotes, maintain support records, and coordinate follow-up with the appropriate salesperson.
  • Coordinate trade show preparation and logistics, including registrations, literature, samples, shipment arrangements, and post-event lead organization.
  • Manage literature updates by coordinating revisions with sales and marketing, maintaining current versions, and helping ensure customers and the sales team use approved materials.
  • Coordinate requests for marketing materials and support their shipment and distribution.
  • Maintain accurate customer, prospect, contact, quote, and activity records in ERP systems.
  • Provide day-to-day administrative support to the sales team, including correspondence, scheduling, record organization, and customer updates.

Outbound Outreach — 30%

  • Make outbound calls to engineering, architect, and owner leads to introducing relevant product information and warm up interest for sales follow-up.
  • Use assigned lead lists, including trade show contacts, to conduct organized and consistent outreach.
  • Ask questions to understand the prospect’s needs, project stage, interest, and appropriate next steps.
  • Provide approved literature and coordinate responses to product or application questions with the sales team.
  • Document call outcomes, contact details, interests, and follow-up commitments.
  • Schedule follow-up conversations or introductions with the appropriate salesperson and maintain clear handoff notes.

Customer Experience Support — 20%

  • Respond to assigned inbound calls and email inquiries with clear, professional, and helpful service.
  • Assist with customer orders and transaction questions, coordinating with sales and operations to support accuracy and timely follow-through.
  • Help resolve customer issues and returns by connecting customers with the appropriate internal team and tracking open items.
  • Maintain familiarity with products, applications, customer categories, and ordering processes to provide accurate support.
  • Share customer feedback with sales and marketing to improve literature, communication, and customer experience.
Requirements:

Education, Experience, and Qualifications

Minimum

  • High school diploma.
  • Ability to organize administrative work, prepare accurate documents, and manage multiple follow-up commitments.
  • Professional verbal and written communication skills, including comfort initiating outbound calls to prospective customers and project contacts.
  • Proficiency with Microsoft Office applications and ability to maintain accurate records in the ERP systems.

Preferred

  • Education in sales, business, or marketing; a bachelor’s degree is a plus.
  • Experience in sales administration, quoting, customer support, or lead follow-up.
  • Experience supporting trade shows, coordinating marketing literature, or managing document updates.
  • Familiarity with construction, HVAC products, or dealer distribution networks.
  • Experience with ERP systems and shipment coordination.

Skills & Characteristics

  • Strong attention to detail in quotes, literature, contact records, and event logistics.
  • Ability to prioritize administrative support while maintaining consistent outreach and responsive customer service.
  • Friendly, confident telephone communication and active listening skills.
  • Reliable follow-through, clear documentation, and timely escalation of questions or issues.
  • Willingness to learn products and applications and communicate within the limits of approved information.
  • Collaborative approach to working with sales, marketing, operations, customers, and prospects.
  • Customer-focused judgment, strong working relationships, and a commitment to collaboration and continuous improvement.

Physical Requirements

  • Ability to perform office-based work, including computer use and telephone communication, with or without reasonable accommodation.
  • Ability to participate in occasional trade shows and local events, with or without reasonable accommodation.

Outcomes:

  • Administrative and sales support: Accurate quotes, organized records, and completed administrative requests that enable the sales team to focus on customer and prospect engagement.
  • Trade shows and literature: Coordinated event preparation, timely material shipments, current approved literature, and organized post-event lead handoffs.
  • Outreach: Consistent contact with engineering, architect, and owner leads, with documented interest, next steps, and clear handoffs to sales.
  • Customer experience: Helpful responses, accurate transaction support, and follow-through on assigned customer questions and issues.
  • Balanced workload: Work priorities reflect the intended 50% administrative support, 30% warm-lead outreach, and 20% customer experience allocation.

We believe that diverse teams create stronger companies and better solutions. That’s why we’re committed to building an inclusive workplace where everyone feels valued, respected, and empowered to contribute their best work.
