Maintenance Coordinator in Bloomington, Minnesota at AFFINITY RESIDENTIAL CARE LLC
Job Description
Position Overview:
Affinity Residential Care LLC, d/b/a Affinity Care MN, is hiring a Maintenance Coordinator to manage maintenance across all our properties, including scattered-site housing, program buildings, and leased and owned locations around the Twin Cities. This person will also be responsible for the upkeep and repair of our company vehicles.
The Maintenance Coordinator tracks, completes, and schedules routine and emergency repairs. They work with residents, staff, landlords, and outside vendors to get work orders done safely, on time, and at a fair price. At any given time, there may be many open items across our sites, ranging from clogged drains, broken locks, and heating problems to unit turnovers and licensing inspection follow-ups. The right person is handy, organized, keeps on top of follow-up, and is comfortable working with people experiencing homelessness, disabilities, or mental health challenges.
Key Responsibilities:
1. Property Maintenance
- Complete basic plumbing, electrical, and mechanical repairs yourself whenever possible (clogged sinks and toilets, door locks and hardware, windows, appliances, minor drywall).
- Bring in vendors and contractors for larger or licensed work such as HVAC, boilers, electrical, and pest control, and stay on the job until it is finished.
- Respond to urgent issues like water leaks, no heat, and safety hazards, and make sure they are handled right away.
- Do routine site checks at scattered sites and at leased and owned properties.
- Handle move-in/move-out readiness and unit turnovers so vacant units are ready to lease as quickly as possible.
- Work with landlords and property managers at leased sites on repairs that are the landlord’s responsibility and follow up until they are resolved.
- Arrange seasonal work, including snow removal, lawn care, and furnace cleaning, at sites where Affinity is responsible.
2. Work Orders & Records
- Track and manage all work orders in AppFolio and keep the maintenance tracker up to date.
- Make sure every work order is assigned, prioritized, and closed out with notes. Follow up on anything that has been open more than 30 days.
- Log requests that come in by email, Slack, phone, or from staff so nothing falls through the cracks.
- Keep clear records of repairs, preventive maintenance, inspections, invoices, and warranties.
3. Fleet Vehicles
- Oversee and coordinate maintenance and repairs for all company vehicles, including oil changes, tires, brakes, fluids, and inspections.
- Keep a service schedule and maintenance log for each vehicle, and track mileage, registration, and insurance renewal dates.
- Get quotes before any vehicle repair and go with the best value, not just the first shop available.
- Make sure vehicles are safe, clean, and stocked (washer fluid, winter emergency kit) for staff and residents.
- Report accidents, damage, or unsafe vehicles to the COO right away and help coordinate repairs and claims.
4. Cost Control
- Get at least two or three quotes for any repair or project over the dollar amount set by the COO and recommend the best option.
- Do repairs in-house when it is safe and allowed instead of calling a vendor.
- Look for savings on parts, supplies, vendor rates, and vehicle service, and buy through approved company accounts.
- Track maintenance spending by site and by vehicle and review it with the COO.
- Stay ahead of small problems with preventive maintenance so they don’t turn into expensive repairs.
5. Compliance & Safety
- Make sure maintenance practices meet 245D standards and Minnesota Rules, part 9555.6175.
- Address licensing inspection findings and DHS correction orders within the required timelines.
- Report facility risks and urgent needs directly to the COO.
- Communicate professionally and respectfully with residents during on-site visits and repairs.
Qualifications:
- 2–5 years of experience in maintenance, facilities coordination, or a related hands-on role.
- Working knowledge of basic plumbing, electrical, and general repairs, and familiarity with HVAC, water, and electrical systems (license not required).
- Experience working with vendors and contractors, getting quotes, and keeping costs down.
- Basic knowledge of vehicle maintenance is a plus.
- Strong organizational skills and follow-through; able to juggle many open items at once.
- Clear, respectful communication with residents, staff, landlords, and vendors.
- Comfortable working in supportive housing settings.
- Able to work independently and solve problems.
- Experience with AppFolio, Excel, or Google Sheets, or willingness to learn.
- Familiarity with, or willingness to learn, 245D standards and Minnesota Rules, part 9555.6175.
- Valid driver’s license, good driving record, and reliable transportation for travel between sites.
