The Senior New Patient Coordinator will be responsible for managing new patient interactions, ensuring timely responses, accurate information capture, and a supportive experience throughout the initial consultation process. This role requires strong communication skills, organization, and the ability to build trust with prospective clients.
- Monitor and respond to incoming SMS inquiries promptly and professionally.
- Engage in consultative conversations by asking thoughtful questions to understand each individual’s needs, goals, concerns, and previous experiences.
- Guide prospective patients toward the appropriate next steps, including scheduling consultations when needed.
- Coordinate appointments using scheduling platforms such as Calendly or similar tools.
- Capture and maintain accurate patient information within CRM and scheduling systems.
- Build strong relationships through empathetic, personalized communication that makes individuals feel understood and supported.
- Conduct follow-ups with prospective patients who require additional information or encouragement to schedule appointments.
- Maintain attention to detail when updating records and handling sensitive information in line with privacy requirements.
The ideal candidate is a proactive and empathetic communicator with experience in customer support, patient coordination, sales support, or similar client-facing roles. They should be comfortable working independently in a remote environment while managing multiple digital interactions throughout the day.
- Strong written communication skills for SMS-based outreach and clear verbal communication for scheduled phone consultations.
- Genuine curiosity and empathy when understanding people’s backgrounds, goals, and concerns.
- Ability to build trust and create positive client experiences through personalized conversations.
- Comfortable learning new technologies and digital platforms; experience with CRMs, telehealth software, or scheduling tools is a plus.
- Familiarity with tools such as Go High Level, DrChrono, or similar platforms is beneficial.
- Basic Excel skills and confidence working with spreadsheets and data organization.
- Interest in healthcare, wellness, telehealth, physical therapy, chiropractic care, or related services is preferred.
- Reliable availability to respond quickly to inbound leads during flexible working hours.
- Strong organizational skills, attention to detail, and ability to follow established processes.
