Description: Position Summary

The New Site Launch Specialist leads the on-site set up of new centers across all Sage brands, driving projects from kickoff through go-live in a fast-paced, deadline-driven environment. This role serves as the central point of coordination across Facilities, Intake, Clinical, Operations, IT, and Sales, ensuring every task is assigned to the right team, tracked to completion, and delivered on schedule. Success requires strong project management discipline, a working knowledge of compliance and regulatory requirements for infusion centers, and the flexibility to shift priorities quickly as multiple site launches overlap.

Core Responsibilities
  • Lead on-site set up of infusion centers for all Sage brands, managing each project from planning through launch and coordinating across Facilities, Intake, Clinical, Operations, IT, and Sales to align on scope, timelines, and task ownership.
  • Manage multiple, concurrent site launches with overlapping timelines in a fast-paced environment, reprioritizing quickly and following up consistently with teams to resolve blockers and keep everything on track.
  • Identify, recommend, and implement project management software that fits the team's needs and enables close oversight of tasks and milestones.
  • Establish and maintain consistent processes and standards across all site launches, regardless of brand or location, ensuring every task is allocated to the appropriate team.
  • Maintain a deep understanding of compliance and regulatory requirements applicable to infusion center site set up.
  • Submit and track renewal applications for Health Care Clinic Establishment (HCCE) and Business Tax Renewals (BTR).
  • Test all site systems ahead of launch, including phones, email groups, feedback surveys, appointment reminders and form links to confirm everything is set up and functioning properly.
  • Collaborate regularly with the Director of Business Assets and the Facilities team to forecast upcoming site launches and establish projected timelines for readiness.
  • Work with Regional Managers to ensure staffing planning and preparation is completed among teams ahead of site launch.
  • Coordinate mock patient day across all teams, confirming systems, staffing, and processes are in place so the site is fully ready for patients prior to opening.
  • Conduct a lessons-learned review after each site launch, capturing what went well and identifying improvement opportunities to refine the process for future sites.
  • Work with the Sales team to coordinate ribbon cuttings or open houses when needed.
  • Co-lead weekly site set-up meetings and communicate project status, gaps or challenges, and timelines to the broader team. Identify and communicate issues requiring escalation to the Leadership team.
  • Manage internal facilities policies and procedures by updating documentation with new site information and ensuring all files are current and saved in the designated drive.
  • Track Biomedical Waste licenses, ensuring annual renewals and payments are completed on time and that each site maintains current permits posted in accordance with regulatory requirements.
Requirements:

Required Skills & Competencies

  • Proven project management experience, ideally in facilities, healthcare, or multi-site rollouts.
  • Strong working knowledge of project management tools/software, with the ability to evaluate and select the right fit for the team.
  • Excellent cross-functional collaboration and communication skills.
  • Ability to multitask and manage several competing priorities and site launches at once.
  • Comfort operating in a fast-paced, deadline-driven environment with frequently shifting priorities.
  • Understanding of healthcare compliance and regulatory requirements relevant to infusion center operations.
  • Firm understanding of the clinical services provided at each site.
  • Strong follow-through and accountability in driving tasks to completion across teams.
  • Highly organized, detail-oriented, and adaptable.
Qualifications

Required: Bachelor's degree in Business, Healthcare Administration, Project Management, or a related field, or equivalent work experience.

3–5+ years of project management experience, preferably in healthcare, facilities, or multi-site rollouts. Strong organizational and communication skills.

Hands-on experience with project management software (e.g., Asana, Smartsheet, Monday.com, MS Project)

Ability to travel frequently to site locations, including overnight travel as needed

Valid driver's license
