Southern Oregon Chiropractic & Wellness is seeking an experienced, motivated, and compassionate Office Manager to lead the daily operations of our growing multidisciplinary wellness clinic. Our team is dedicated to providing exceptional patient care through a collaborative approach that includes Chiropractic, Medical, Behavioral Health, Massage Therapy, Acupuncture, and Dental.

Position Summary

The Office Manager is responsible for overseeing the day-to-day operations of the clinic while ensuring exceptional customer service, efficient workflows, and a positive work culture. This individual will provide leadership to front office staff, maintain operational excellence, support providers, and help drive the overall success of the clinic.

Key Responsibilities

  • Lead, coach, and support front office staff while fostering a positive team culture.
  • Oversee daily clinic operations and ensure smooth patient flow.
  • Ensure exceptional patient service from check-in through check-out.
  • Manage staff scheduling and coordinate coverage as needed.
  • Train, mentor, and develop team members.
  • Monitor clinic performance metrics and implement process improvements.
  • Maintain compliance with company policies, HIPAA regulations, OSHA standards, and clinic procedures.
  • Monitor patient scheduling, registration accuracy, insurance verification, and co-pay collections.
  • Assist with conflict resolution and patient concerns professionally and compassionately.
  • Work collaboratively with providers and leadership to improve clinic efficiency and patient satisfaction.
  • Oversee inventory and office supply management.
  • Support recruiting, onboarding, and employee training initiatives.
  • Participate in leadership meetings and contribute to organizational growth.

Qualifications

Required:

  • Minimum of 2 years of leadership or management experience (healthcare preferred)
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Ability to lead and motivate a diverse team
  • Experience with scheduling, customer service, and administrative operations
  • Proficiency with Microsoft Office and electronic medical record (EMR) systems
  • Ability to problem solve and adapt in a fast-paced environment

Preferred:

  • Experience in a chiropractic, medical, dental, physical therapy, or multidisciplinary healthcare setting
  • Knowledge of insurance verification and medical office workflows
  • Experience with performance coaching and team development
