Setting the Stage
At RWJBarnabas Health, our Administrative Assistants play a vital role in supporting the physicians and leaders who deliver exceptional patient care every day. We are seeking a highly organized, detail-oriented professional to provide administrative, operational, and project support for clinical faculty and senior leadership within our academic medical environment.

This position serves as a key liaison between physicians and multiple administrative departments, ensuring seamless coordination across Human Resources, Purchasing, Finance, Information Systems, Faculty Affairs, Workforce Planning, Clinical Practice, and other organizational partners. A Typical Day
As an Administrative Assistant, you'll help keep operations running smoothly by managing complex administrative responsibilities while supporting physicians and department leadership. Your responsibilities may include:

  • Serving as the primary administrative liaison between assigned physicians and internal departments.
  • Managing physician calendars, appointments, meetings, travel arrangements, and scheduling priorities.
  • Coordinating purchasing requests, expense reimbursements, invoices, subscriptions, and other administrative transactions.
  • Monitoring departmental budgets and tracking expenditures to ensure alignment with allocated funding.
  • Preparing correspondence, reports, presentations, meeting agendas, and other professional documents.
  • Supporting onboarding and offboarding activities for clinical faculty while maintaining credentialing and organizational requirements.
  • Maintaining physician curriculum vitae (CVs), National Institutes of Health (NIH) biosketches, and other professional documentation.
  • Coordinating multidisciplinary tumor board meetings and assisting with educational conferences, continuing medical education (CME), and faculty events.
  • Managing incoming inquiries, fax and electronic communications, and ensuring timely routing of information.
  • Identifying workflow improvements while supporting multiple high-priority initiatives and special projects.

To Be Considered
Qualified candidates will possess:

  • High School Diploma or equivalent required.
  • Minimum of three (3) years of administrative support experience, preferably within a healthcare or academic medical environment.
  • Associate's or Bachelor's degree preferred.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, Outlook, and other business software applications.
  • Ability to maintain confidential information with professionalism and discretion.
  • Experience coordinating meetings, calendars, travel arrangements, and complex administrative projects.
  • Strong attention to detail with the ability to prioritize competing responsibilities in a dynamic environment.
