Job Description
The Project-Based Warehouse & Materials Management Contractor provides hands-on execution and project support for GMP warehouse, receiving, inventory control, material movement, ERP transactions, and materials management improvement initiatives at the Abzena site. This initial six-month engagement is intended to provide dedicated capacity for defined operational projects while maintaining compliant execution of routine warehouse activities required to support GMP operations.
The contractor will be assigned defined workstreams with measurable deliverables, including inventory accuracy and reconciliation, material master and ERP data cleanup, warehouse organization and optimization, SKU rationalization, documentation remediation, and inventory preparation and transfer to third-party logistics providers. The role works cross-functionally with Materials Management, Supply Chain, Manufacturing, Quality Assurance, Quality Control, and external logistics partners to complete assigned projects on schedule while maintaining GMP, GDP, data integrity, safety, traceability, and material control requirements.
- Execute assigned Materials Management projects against defined scope, priorities, milestones, and completion dates.
- Maintain project trackers and provide routine status updates on progress, open actions, risks, constraints, and completed deliverables.
- Own assigned inventory accuracy and reconciliation workstreams, including physical-to-system reconciliation and closure of identified discrepancies.
- Execute defined IFS/ERP and material master data cleanup activities, including review and correction of inventory records, BOMs, Material Requests, Shop Orders, storage locations, and other assigned master data.
- Support warehouse optimization projects, including location rationalization, material segregation, labeling, inventory disposition support, and improvement of material flow.
- Execute assigned 3PL transition activities, including inventory preparation, reconciliation, transfer documentation, physical movement, post-transfer verification, and closure of transfer discrepancies.
- Support documentation remediation projects by reviewing, organizing, correcting, and closing assigned Materials Management records in accordance with GMP and GDP requirements.
- Identify project risks or barriers that could affect schedule, compliance, inventory accuracy, or operational continuity and escalate them promptly to the project owner or Materials Management leadership.
- Provide documented evidence of project completion and support handoff of completed processes, records, or improvements to the permanent Materials Management team.
- Execute day-to-day receiving, warehousing, storage, staging, picking, issuing, transfer, and inventory control activities in accordance with approved SOPs and GMP/GDP requirements.
- Receive incoming materials and verify shipment condition, quantities, labels, documentation, and applicable storage requirements before appropriate staging or storage.
- Maintain appropriate material status and segregation, including quarantine, released, rejected, returned, expired, and other controlled inventory statuses as applicable.
- Perform accurate inventory movements and transactions in the IFS ERP system, including receipts, transfers, issues, adjustments, and other authorized inventory transactions.
- Support cycle counts, physical inventory verification, reconciliation, and investigation of discrepancies between physical inventory, ERP records, and supporting documentation.
- Organize, label, stage, and store materials to support safe handling, traceability, inventory accuracy, and efficient material flow.
- Support temperature-sensitive and controlled-storage materials by following defined handling, storage, transfer, and monitoring requirements.
- Maintain complete and contemporaneous warehouse records, logbooks, labels, forms, and electronic transactions in accordance with GDP and data integrity expectations.
- Review and support correction of material master data, Bills of Materials (BOMs), Material Requests, Shop Orders, and related inventory records to improve transactional accuracy.
- Support SKU and inventory rationalization, obsolete or excess inventory review, location cleanup, and other inventory optimization activities.
- Identify material, documentation, labeling, storage, or system discrepancies and promptly escalate issues in accordance with site procedures.
- Support deviation investigations, corrective actions, and continuous improvement activities related to warehouse execution, inventory accuracy, and materials management, as assigned.
- Assist with preparation, reconciliation, documentation, and physical transfer of inventory to approved third-party logistics providers, including SciSafe.
- Verify inventory quantities and records before, during, and after external warehouse transfers to maintain traceability and accurate chain of custody.
- Coordinate with Manufacturing and other internal customers to stage and deliver materials in support of planned GMP operations.
- Maintain warehouse areas in a clean, organized, inspection-ready condition and follow all site EHS, PPE, material handling, and housekeeping requirements.
- Safely use pallet jacks, carts, and other approved material-handling equipment when trained and authorized.
- Participate in warehouse process standardization, work instruction development, and operational improvement activities.
- Perform other Materials Management and warehouse activities as assigned.
Physical Requirement:
- Ability to work in warehouse, receiving, manufacturing support, cold-storage, and office environments.
- Ability to stand, walk, bend, reach, and perform material-handling activities for extended periods.
- Ability to wear required personal protective equipment (PPE) and follow site safety requirements.
- Ability to lift and move materials in accordance with site safety requirements and established lifting limits.
- Ability to work at a computer and use ERP, inventory, and documentation systems as required.
- High school diploma or equivalent required. Associate or Bachelor's degree in Supply Chain, Logistics, Business, Operations, or a related field is preferred.
- Minimum 5 years of experience in warehouse operations, materials management, inventory control, logistics, supply chain, manufacturing support, or a related function.
- Experience in a GMP-regulated pharmaceutical, biotechnology, medical device, or other regulated manufacturing environment strongly preferred.
- Experience using an ERP, warehouse management, or inventory management system to execute material transactions and maintain inventory records.
- Working knowledge of GMP, GDP, data integrity, inventory control, material status control, and warehouse documentation practices.
- Demonstrated ability to perform cycle counts, inventory reconciliation, material movements, receiving, staging, and storage activities accurately.
- Strong attention to detail with the ability to maintain accurate physical and electronic records.
- Ability to identify discrepancies, communicate issues promptly, and support structured problem resolution.
- Ability to work independently, follow controlled procedures, and manage changing priorities in a fast-paced GMP environment.
- Strong communication and collaboration skills with the ability to work effectively across Materials Management, Manufacturing, Quality, QC, and Supply Chain.
- Experience with IFS ERP, BOMs, Shop Orders, Material Requests, 3PL transfers, cold-chain materials, barcode/RF scanning, or powered material-handling equipment is preferred.
- Demonstrated ability to complete defined project work independently, track actions and deliverables, and communicate progress against deadlines.
- Experience supporting inventory remediation, warehouse optimization, ERP cleanup, 3PL transitions, or similar operational improvement projects is preferred.
