The Compliance Coordinator supports the organization’s compliance program by performing day-to-day administrative, monitoring, and documentation activities. The person in this role helps ensure policies, procedures, training records, and operational practices align with applicable laws, regulations, accreditation standards, and internal requirements.The ideal candidate is detail-oriented, organized, and comfortable working with data, documents, and people. They enjoy process-driven work, follow-up, and helping others stay on track with expectations.
Key ResponsibilitiesProgram and Documentation Support
- Maintain organized electronic and/or physical files for compliance activities, including policies, procedures, audits, investigations, and corrective action plans.
- Assist in updating, formatting, and distributing policies and procedures, ensuring staff have access to current versions.
- Track staff attestations and acknowledgments for policies, trainings, and code of conduct.
Monitoring and Audits
- Support internal monitoring and auditing activities by preparing checklists, gathering documentation, and tracking results.
- Perform basic spot checks (e.g., required postings, documentation completeness, file reviews) under the direction of the CCO.
- Document findings, log issues, and help track corrective actions to closure.
Training and Education Support
- Maintain training records and tracking tools (e.g., spreadsheets, LMS reports) to monitor completion of required compliance trainings.
- Assist with scheduling and coordinating compliance-related trainings and meetings.
- Prepare attendance sheets, evaluations, and follow-up communications as needed.
Issue Intake and Follow-Up
- Help manage compliance hotlines, inboxes, or reporting channels by logging incoming concerns and routing them to the appropriate person.
- Track status of reported issues, follow-ups, and resolutions in coordination with the CCO.
- Assist with documentation for investigations, reviews, and responses, as directed.
Regulatory and Accreditation Support
- Help collect and organize documentation requested for regulatory, licensing, payer, or accreditation surveys and audits.
- Maintain calendars and tracking tools for key compliance deadlines (e.g., renewals, reporting periods, policy review cycles).
General Administrative Support
- Schedule and coordinate compliance committee meetings, prepare agendas, take notes, and track action items.
- Assist with the development of forms, templates, and checklists used in compliance activities.
- Support special projects and other duties as assigned by the CCO.

Work Environment & Schedule
- Primarily on-site/office-based with potential occasional visits to organizational locations for audits or reviews.
- Standard Monday–Friday business hours, with occasional flexibility for audits, trainings, or deadlines.
Required Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree in business, healthcare administration, legal studies, compliance, or related field preferred.
- 1–3 years of experience in an administrative, compliance, quality, risk, HR, or healthcare office role (or similar regulated environment).
- Strong organizational skills with the ability to manage multiple tasks, deadlines, and details accurately.
- Proficiency with Microsoft Office / 365 (Word, Excel, Outlook; SharePoint or similar tools a plus).
- Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
- Clear written and verbal communication skills, including the ability to send professional emails and summarize information.
Preferred Qualifications
- Experience in healthcare, behavioral health, or other highly regulated industries.
- Familiarity with basic compliance concepts (e.g., HIPAA, privacy, ethics, policies and procedures, audits).
- Experience working with databases, spreadsheets, or tracking systems for documentation and reporting.
- Prior involvement in audits, surveys, or quality/compliance projects.
