Job Description
At Leap Service Partners, we know that smooth field operations are the backbone of our success. As our Branch Support Coordinator, you aren’t just pushing paper—you are the operational air traffic control for our fleet, logistics, and data systems.
This role bridges the gap between our field branches, internal corporate teams (HR, IT, Accounting), and major external vendors (Holman, WEX, Geotab). If you love solving puzzles, keeping massive datasets clean, and being the go-to person who keeps a multi-site operation running like a finely tuned machine, you’ll thrive here.
What You’ll Do (Essential Duties)Fleet & Logistics Orchestration
Asset Lifecycle Management: Own the end-to-end oversight of our vehicle fleet via Holman. From procurement and lease documentation to maintaining our master vehicle list, you ensure our data matches reality.
Gear & Telematics Tracking: Manage the ordering, tracking, and vendor coordination for telematics equipment (Geotab devices, cameras, wiring bundles).
Uptime & Safety: Continuously monitor maintenance logs and safety recalls, partnering directly with branches to get vehicles serviced and back on the road safely.
Driver Compliance & Fuel Control
Data Integrity: Audit and scrub our fuel management platform (WEX)—purging terminated employee data, fixing IDs, and eliminating duplicates.
Onboarding Kits: Build and deploy standardized compliance packets (insurance, fuel cards, maintenance guides) so new drivers are set up for success on day one.
System Administration & Integration
Acquisition Support: Act as the operational anchor during new branch integrations, helping configure and migrate data into core platforms like ServiceTitan.
System Configuration: Define and establish business units, payroll codes, invoicing parameters, and user permissions to maintain company-wide standards.
Ticketing & Support: Rapidly triage and resolve incoming branch requests regarding vehicles, fuel, and systems using FreshService.
Financial Auditing & Analytics
Expense Audits: Analyze fuel and fleet spend to spot anomalies, inefficiencies, or fuel misuse, presenting your findings directly to GMs, RVPs, and Accounting leadership.
Cross-System Reconciliation: Conduct routine audits cross-referencing internal data against ADP, WEX, Geotab, and insurance broker records to maintain flawless accuracy.
Minimum Qualifications:
High School Diploma or equivalent.
Tech Savvy: Strong proficiency with Microsoft Office (especially Excel) and/or Google Workspace.
Valid driver’s license.
Must be eligible to work in the U.S. without sponsorship.
Core Strengths We Look For:
The Mindset of an Auditor: Meticulous attention to detail and a passion for data integrity. You notice when a number is misplaced.
Communication Skills: Ability to clearly explain policies, technical systems, and workflows to both field technicians and executive leadership.
Autonomy: A proactive self-starter who can juggle multiple moving parts and prioritize tasks with minimal supervision.
Adaptability: Comfortable in a fast-paced, evolving environment (especially during company acquisitions).
Prolonged periods of working on a computer and utilizing office equipment (phone, etc.).
Ability to sit or stand at a workstation for extended periods.
Must be able to maintain regular, reliable attendance to support time-sensitive branch requests and project deadlines.
