Job Description
Position Summary
The Special Programs Coordinator provides hands‑on operational, administrative, and logistical support for GRACE’s senior services and seasonal programs, including Feed Our Kids, GRACE Grocery Giveaway, Christmas Cottage, and other special initiatives. This role ensures smooth program flow, supports volunteers, assists with site setup, manages materials, and maintains accurate documentation to help deliver high‑quality services to clients, volunteers, and community partners.
Key Responsibilities
Assist with site setup and breakdown for seasonal and senior programs (tables, bins, signage, donation areas, supplies).
Complete donation pickups, loading/unloading, and inventory movement as directed.
Prepare program materials such as packets, signage, supplies, and documents.
Support on‑site program flow during distributions, events, and seasonal activities.
Provide basic orientation and daily support to volunteers when the Special Programs Manager is unavailable.
Maintain accurate records through routine data entry, documentation, and administrative tracking systems.
Update service provider lists, contact information, supply inventories, and program records.
Draft weekly or monthly reports for manager review.
Respond to basic volunteer and senior participant inquiries via phone, email, and text; triage concerns for the Special Programs Manager.
Utilize a personal vehicle for client visits, community meetings, and off‑site program travel.
Represent GRACE at meetings and public presentations as requested.
Maintain flexible availability for evening or weekend work during peak seasons (Feed Our Kids, GRACE Grocery Giveaway, Christmas Cottage).
Qualifications
High School Diploma or GED required; Associate degree in social services, human services, or related field preferred.
Six months to one year of related experience in program support, volunteer coordination, or community services.
Strong communication skills and ability to work effectively with volunteers, clients, and community partners.
Demonstrated ability to produce accurate, high‑quality work with attention to detail.
Ability to lift/move up to 25 pounds and work in both office and moderate‑to‑loud environments (outdoor events, warehouse settings, client homes).
Proficiency in Microsoft Word, Excel, and Outlook.
Valid driver’s license and current auto insurance required.
