  • Coordinate preventive maintenance scheduling and track open maintenance items through completion.
  • Create service work orders and assist with repair scheduling and estimates.
  • Coordinate breakdowns and outside vendor repairs, including quotes and purchase orders.
  • Participate in breakdown and paid on-call coverage as assigned.

Records, Billing & Systems

  • Maintain FHWA documentation and required fleet and inspection records.
  • Support customer repair billing and damage rebills.
  • Maintain accurate information in Karmak, OnBase, and other company systems.
  • Assist with yard and equipment inventory reconciliation.

Communication & Teamwork

  • Work closely with Fleet Maintenance, Service, Parts, Rental, and Sales to keep equipment moving efficiently.
  • Keep teams informed about equipment status, delays, repair needs, and required follow-up.
  • Respond professionally to customer and vendor questions regarding equipment, repairs, and inspections.
  • Identify workflow issues and recommend improvements to fleet maintenance processes.

What You'll Bring

Preferred Experience

  • Background in fleet maintenance, trailer or equipment service, transportation, or service operations.
  • Knowledge of commercial trailers, equipment, maintenance, or repair processes.
  • Experience with service writing, work orders, purchase orders, inspections, repair billing, or maintenance coordination is a plus.

Skills & Requirements

  • Strong organizational skills with the ability to manage multiple units and service needs at once.
  • Excellent attention to detail and reliable follow-through.
  • Strong problem-solving and communication skills.
  • Professional, customer-focused approach when working with customers, vendors, and coworkers.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Ability and willingness to learn Karmak, OnBase, CRM platforms, and other company systems.
  • Ability to work independently while coordinating effectively across multiple departments.
  • Valid driver's license.

Is This You?

If you're organized, mechanically minded, comfortable working with both people and systems, and enjoy taking ownership of the details that keep equipment moving, we'd like to hear from you.
