Job Description

About Us

The National Alliance for Care at Home (Alliance) is the leading authority in transforming care in the home. As a national trade association, we represent providers of home care, home health, hospice, palliative care, and other services delivered where people want them most—at home. We are an inclusive thought leader, advocate, educator, and convener, serving as a unified voice for providers and the individuals they care for across all stages of life.

Position Overview

Reporting directly to the President & CEO, this position serves as the central coordination and administrative liaison for the Alliance's Board of Directors, councils, committees, and workgroups. The Manager is responsible for managing meeting schedules and logistics, maintaining accurate and comprehensive records, establishing consistent administrative processes, tracking decisions and action items, and facilitating effective communication and follow-through across the organization.

The position also provides project management support for strategic initiatives and special projects assigned by the President & CEO, helping ensure that organizational priorities advance efficiently and effectively.

The Manager owns the coordination and administrative processes supporting governance activities, not the substantive work of individual councils, committees, or workgroups. Staff liaisons, subject matter experts, and volunteer leaders retain responsibility for policy development, program content, technical recommendations, and substantive deliverables.

The successful candidate will demonstrate exceptional organizational and project management skills, sound professional judgment, a service-oriented approach, and the ability to work effectively with senior executives, board members, volunteer leaders, and internal teams.

This position is based in the Washington, DC metro area and eligible for a hybrid work (2-3 days in-office) arrangement. Candidates must be located (or willing to relocate to) the DC area to support in-person collaboration, stakeholder engagement and events as needed.

Primary Responsibilities

1. Board Relations & Governance Coordination

  • Serve as the primary administrative liaison and coordination resource for the Alliance's Board of Directors and board committees.
  • Develop and maintain the annual board meeting calendar, coordinating schedules, logistics, attendance, and in-person and virtual meeting arrangements.
  • Partner with the President & CEO and appropriate organizational leaders to facilitate the timely preparation and distribution of agendas, board packets, presentations, and supporting materials.
  • Coordinate the preparation, review, distribution, approval, and retention of meeting minutes, resolutions, decisions, and related governance records.
  • Maintain accurate board membership rosters, committee assignments, leadership terms, contact information, and other governance documentation.
  • Track board decisions, action items, assignments, and deadlines, coordinating with responsible individuals to support timely completion.
  • Support board member onboarding, orientation, and leadership transitions.
  • Maintain organized, secure, and accessible governance records in accordance with organizational policies and applicable requirements.

2. Council, Committee & Workgroup Coordination

  • Serve as the centralized administrative coordination resource for the Alliance's councils, committees, and workgroups.
  • Develop and maintain a comprehensive master calendar of meetings to minimize scheduling conflicts and support participation.
  • Coordinate meeting invitations, virtual meeting links, meeting locations, attendance tracking, and other logistical requirements.
  • Collaborate with designated staff liaisons and volunteer chairs to ensure agendas and supporting materials are prepared and distributed in advance of meetings.
  • Establish and implement standardized administrative processes and templates for meeting agendas, minutes, attendance records, action items, and document retention.
  • Coordinate the accurate documentation of meeting discussions, decisions, recommendations, and follow-up assignments.
  • Maintain current membership rosters, leadership assignments, participation records, and relevant committee documentation.
  • Monitor meeting schedules, deliverables, and administrative deadlines, providing reminders and coordinating follow-up as appropriate.
  • Facilitate the communication of committee recommendations, reports, and action items to appropriate Alliance leadership or governance bodies.
  • Identify and implement opportunities to improve consistency, coordination, communication, and administrative efficiency across governance groups.

Scope of Responsibility: The Manager is accountable for ensuring that governance coordination processes are consistent, efficient, and well-documented. Responsibility for substantive meeting content, policy positions, technical recommendations, and program activities remains with designated staff liaisons, subject matter experts, and volunteer leadership.

3. Strategic Project Management

  • Manage strategic initiatives and special projects as assigned by the President & CEO.
  • Develop and maintain project plans, schedules, milestones, responsibility assignments, and deliverable tracking systems.
  • Coordinate cross-functional projects involving Alliance departments, volunteer leadership groups, and external stakeholders.
  • Monitor progress against established objectives, identify potential delays, and communicate issues requiring leadership attention.
  • Facilitate project meetings, document decisions, and coordinate follow-up activities.
  • Prepare regular project status reports, progress updates, and executive summaries.
  • Support organizational process improvements and operational initiatives designed to strengthen effectiveness and accountability.
  • Coordinate project dependencies and help ensure that responsible team members have the information, resources, and timelines needed to advance assigned work.

4. Executive Office Coordination

  • Work closely with the President & CEO to support effective communication, planning, and execution of governance-related activities and assigned organizational priorities.
  • Maintain awareness of upcoming board, council, committee, and workgroup activities and proactively identify matters requiring executive involvement.
  • Coordinate information and materials needed by the President & CEO in advance of governance meetings and other significant organizational activities.
  • Prepare professional correspondence, meeting summaries, briefing materials, presentations, and project updates as requested.
  • Facilitate coordination among executive leadership, department staff, and volunteer leaders to support organizational alignment.
  • Exercise appropriate discretion and confidentiality in handling governance matters, strategic initiatives, and sensitive organizational information.
  • Undertake additional special projects and responsibilities as assigned by the President & CEO.

5. Executive Reporting & Accountability

  • Prepare and provide a weekly executive summary to the President & CEO highlighting upcoming Board of Directors, council, committee, and workgroup meetings; significant decisions and recommendations; outstanding action items; upcoming and missed deadlines; and matters requiring executive attention.
  • Maintain a centralized tracking system to monitor governance activities, assigned responsibilities, project milestones, and follow-up commitments.
  • Proactively identify potential delays, scheduling conflicts, unresolved issues, and other matters requiring leadership intervention.
  • Immediately elevate time-sensitive or significant governance and project-related issues requiring the President & CEO's attention.
  • Provide recommendations for improving coordination, communication, accountability, and operational efficiency across the Alliance's governance structures.
  • Ensure executive leadership has timely visibility into key governance activities, outstanding commitments, and strategic project progress.

Required Qualifications

  • Minimum of 3–5 years of relevant experience in board administration, association management, project management, executive operations, or a comparable role.
  • Demonstrated experience coordinating complex schedules, meetings, and projects involving multiple stakeholders.
  • Exceptional organizational skills, attention to detail, and ability to manage concurrent priorities and deadlines.
  • Strong written and verbal communication skills, including experience preparing professional meeting minutes, correspondence, and reports.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience using project management, document management, and collaboration platforms.
  • Ability to work independently, anticipate needs, exercise sound judgment, and maintain confidentiality.
  • Strong interpersonal skills and demonstrated ability to interact effectively with executives, board members, volunteer leaders, and staff.

Preferred Qualifications

  • Experience working within a national trade association, professional membership organization, nonprofit, or similarly governed organization.
  • Familiarity with nonprofit board governance practices and committee management.
  • Experience supporting volunteer councils, committees, or workgroups.
  • Knowledge of healthcare, home care, hospice, or healthcare policy and advocacy organizations.
