Job Description
FLSA Status: Nonexempt
Effective: May 2025
Job Summary: Under the general supervision of the Assistant City Manager, the Receptionist performs various clerical duties which support the presentation and operation of the organization. The position assists the general public in a smooth and efficient manner, to adhere to all protocols in line with city organization goals, strategy and values.
Education/Training/Experience Requirements:
High school diploma or equivalent is required.
One year of administrative or clerical secretarial experience is required.
A valid Texas driver’s license.
Essential Job Functions:
1. Provides information to callers, greets persons and directs individuals to correct destination.
2. Manages inquiries or requests from the general public.
3. Provides general clerical and administrative support.
4. Collects money and posts receipts received for a variety of different departments.
5. Processes approved requisitions, prepares purchase orders and sends copies to vendors and to originating departments.
6. Responds to vendor inquiries about clarifying orders, changes in requests, delivery requirements and cancellations.
7. Contacts vendors to ensure meeting delivery schedules and resolves problems with vendors to expedite deliveries.
Performs such other related duties as may be assigned.
Required Knowledge, Skills, and Abilities:
Ability to manage consumers, visitors, telephone messages and calls in a professional and efficient manner.
2. Ability to establish and maintain effective working relationships with other employees, officials, and the general public.
3. Ability to manage public relations problems courteously and tactfully.
4. Ability to compile requests from various departments for approved material requisitions, prepare purchase orders, keep track of purchases and supplies and inquire about orders.
Ability to exercise independent judgment within established guidelines.
Physical Demands/Work Environment: Work is performed in a standard office environment with low to moderate noise level. Subject to sitting for an extended period of time, standing, walking, bending, reaching, kneeling, and lifting and putting away such items as records and office supplies of moderate weight of up to 40 pounds. Working with a wide variety of people, some of whom may be irate or difficult.
