Supervisor’s Title: Maintenance Planner/Warehouse Manager

Reports to: Maintenance Planner/Warehouse Manager

Department: Maintenance

FLSA Status: Non-Exempt - Hourly

Work Schedule: Monday-Friday

Job Summary

The Maintenance Scheduling Clerk supports the maintenance team by coordinating and maintaining the scheduling of preventive, corrective, and predictive maintenance activities across all plant equipment and systems. This role ensures that maintenance tasks are documented, prioritized, and aligned with production demands in a fast-paced cheese and whey manufacturing environment.

Essential Functions
  • Assist the Maintenance Planner in developing daily, weekly, and monthly maintenance schedules.
  • Coordinate with production to minimize equipment downtime and avoid disruptions.
  • Enter work orders, PMs, and maintenance records into the Computerized Maintenance Management System (CMMS).
  • Track the status of open work orders and update records as tasks are completed.
  • Monitor spare parts availability and flag shortages to avoid delays.
  • Maintain accurate records of technician labor hours, materials used, and job completion status.
  • Help prioritize work orders based on urgency, equipment criticality, and safety needs.
  • Communicate scheduled maintenance to affected departments with sufficient lead time.
  • Generate and distribute maintenance reports and KPIs as directed.
  • Support inventory control and assist with ordering or receiving parts as needed.
  • Ensure compliance with company policies and industry regulations.
  • Perform any other relevant duties and responsibilities defined in company policies and procedures, applicable legislation, or the SQF code.
  • Regular attendance is a key requirement of this position.
  • Comply with all applicable food safety regulations and mandates (Safe Quality Foods, Food and Drug Admin, and Pasteurized Milk Ordinance).
  • Completes with all company food safety policies and procedures (including Good Manufacturing Practices).
  • Responsible for providing food safety and quality feedback to the appropriate manager.
  • Perform other duties as assigned.
Qualifications
  • High school diploma or equivalent.
  • Previous clerical or administrative experience.
  • Basic understanding of the work order process.
  • Proficiency in Microsoft Office, especially Excel and Outlook.
  • Willingness to learn maintenance and manufacturing software platforms.
  • Ability to work independently and prioritize multiple tasks in a deadline-driven environment. Good communication skills for cross-department coordination.
  • Willingness to learn to drive a forklift.
  • Basic computer skills, including experience with inventory management software.
  • Strong attention to detail and organizational skills.
  • Excellent communication and teamwork skills.
  • Participate in proactive team efforts to achieve departmental and company goals.
  • Ability to prioritize tasks, manage multiple projects simultaneously and delegate assignments to others.
  • Punctual and regular attendance is required.
  • English skills must be proficient to understand, read, write, and speak.
  • Comply with all safety policies, practices, and procedures. Report all unsafe activity to the supervisor and/or Human Resources.

Physical Requirements and Environmental Conditions

Physical Requirements:

  • Physical effort is regularly required.
  • May be trained and required to operate a forklift.
  • Ascending or descending ramps, stairs, ladders, and/or scaffolding.
  • Frequently involves crouching, stooping, kneeling, and/or climbing or balancing.
  • Frequently involves lifting more than 50 lbs.

Typical Environmental Conditions:

  • Works in a food processing manufacturing facility with moderate noise.
  • May be exposed to moderate to high noise levels (i.e., production equipment, forklifts, heavy traffic).
  • May be exposed to humidity, intense heat and cold, outdoor weather conditions, and fumes and toxic chemicals.
  • May work in areas with mechanical moving parts, above ground with risk of fall, or areas with risk of electrical shock.
  • May be exposed to ingredients that may cause allergic reactions and may be exposed to various allergen ingredients.
