Auxiliary Programs extend the McGehee and Little Gate missions beyond the academic day, creating high-quality, mission-aligned experiences that deepen community, develop the whole child, and generate the revenue that supports the long-term strength of both divisions. Position Summary

McGehee's Auxiliary Programs department operates seven distinct program lines — Camp McGehee (including summer and break camps), aftercare, afterschool enrichment, Saturdays at McGehee, private music lessons, Faculty Krewe Camp, and Little Gate programming — each on its own calendar, registration cycle, and staffing model.

The Auxiliary Programs Assistant assists in the management of this full portfolio day to day, providing the hands-on support that keeps every program line running smoothly across the full year, from in-season operations to the ongoing planning well before they launch. This role ensures that every family feels informed and cared for, and that every detail behind the scenes is handled with the same excellence families experience on the playground and in the classroom.

Key ResponsibilitiesProgram Operations & Logistics
  • Assist in the preparation and communications for aftercare, afterschool enrichment, Saturdays at McGehee, private music lessons, Faculty Krewe Camp, Camp McGehee, and Little Gate programming year round.
  • Support daily logistics such as carpool coordination, room and space assignments, attendance tracking, and supply or equipment fulfillment across program lines
  • Help prepare and distribute program materials, including preference forms, schedules, and session-specific supplies (e.g., camp t-shirts and name tags, enrichment session materials)
  • Provide on-the-ground support for Saturdays at McGehee and all Camp McGehee activities
Staffing Support
  • Assist with recruitment and scheduling of part-time and seasonal staff
  • Help track staff certifications, training completion, and onboarding paperwork across program lines
  • Serve as a resource for staff during program hours
Family & Community Engagement
  • Greet and assist families during drop-off, pickup, and check-in/check-out across aftercare, enrichment, camp, and other programs
  • Respond to routine family inquiries via phone and email with warmth and professionalism
  • Help resolve day-to-day logistical questions and escalate concerns to the Director as needed
Registration, Marketing & Communications
  • Assist in building and maintaining registration forms in CampBrain across all program lines, including rate setup, session details, and enrollment monitoring
  • Help troubleshoot family registration issues and support open/close windows for each program’s registration cycle
  • Assist in drafting and proofreading family-facing communications, newsletters, and program materials for aftercare, enrichment, camp, and other program lines
  • Support the preparation of flyers, catalogs, and social media content to promote Auxiliary Programs offerings
  • Help maintain accuracy of program information across CampBrain and other family-facing platforms
Administrative & Financial Support
  • Assist with routine data entry, attendance recordkeeping, and reporting across all seven program lines
  • Support basic financial tasks such as tracking invoices and expenses
  • Help maintain accurate staff records in Paylocity as needed
Requirements: Required Qualifications
  • High school diploma or equivalent required
  • 3+ years of experience working with children in a school, camp, or recreational setting
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Comfort working with basic office software and a willingness to learn program-specific platforms (e.g., CampBrain, Paylocity)
  • A collaborative, can-do attitude and genuine enthusiasm for supporting children and families
Preferred Qualifications
  • Prior experience in an independent school, camp, or auxiliary/extended-day program setting
  • Familiarity with CampBrain or comparable registration and camp management software
  • Experience supporting marketing, communications, or social media for a school or youth-serving organization
  • Familiarity with Louisiana state licensing requirements for early childhood centers and school-age care programs
  • CPR and First Aid certification
