Job Description
- Responsible for accurate and timely processing of payroll, which includes recordkeeping compliance with federal and state regulations. Process and enter all payroll-related data into the Human Resources Information System (HRIS) for employees. Enter payroll information, complete all payroll processes, and verify the accuracy of each payroll run for approximately 400 employees. Correct payroll errors within the time prescribed by a law and run additional payrolls when necessary.
- Process electronic payroll deposits and prepare requisitions for withholding, annuities, benefits, and all other monthly payables related to payroll and review payroll reports to verify accuracy and prepare payroll information for processing and reporting to Oregon PERS.
- Check for miscalculations/misapplications in payroll and report errors to the Controller. Complete corrective data entry when necessary.
- Pull reports to assist with preparing and completing monthly, quarterly, and annual federal and state payroll and accounting reports as required, including W-2, W-3, workers compensation fund, PERS (EDX) reports. Ensure accurateness by balancing monthly.
- Maintain a working knowledge of basic employment laws and regulations, stay current on changes in applicable laws and regulations, and apply that knowledge appropriately in the performance of assigned duties.
- Assist with new hire orientation including gathering necessary employment documentation and discussing new employee benefits.
- Act as primary contact for current and previous employees in regard to payroll related problem resolution.
- Ensure availability on campus during payroll processing periods, adjusting time off as necessary to meet payroll deadlines.
- Provide secondary support for monitoring and adjusting employee leave in the Human Resource Information System.
- Create and produce reports in the Human Resource Information System. Understand data and how to create reports from the available software systems.
- Other duties as assigned.
MANDATORY: Associate degree in Accounting, Business Administration, Human Resources, or a related field or two (2) years of progressively responsible experience in payroll, benefits administration, accounting, human resources, or a closely related field;
Demonstrated knowledge of payroll processes, recordkeeping requirements, data accuracy standards, and customer service principles.
Ability to maintain confidentiality and exercise discretion when working with sensitive employee and organizational information.
Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain a high degree of accuracy.
Proficiency with Microsoft Office applications, including Excel, and the ability to learn and effectively utilize enterprise software systems.
PREFERRED: Bachelor’s degree in human resources, business, accounting or other related field. Knowledge of Paylocity, PERS (EDX) system, and/or FMLA/OFLA regulations a plus.

- Ability to perform detailed financial reconciliations, identify discrepancies, document findings, and follow established correction and approval procedures.
- Ability to learn and use payroll, financial, grant-management, and reporting systems.
- Ability to organize work around recurring payroll, grant, reconciliation, audit, and financial-reporting deadlines.
PHYSICAL DEMANDS
While performing the duties of this position, the employee is frequently required to sit, communicate, reach and manipulate objects, tools or controls. The position requires mobility. Minimum physical exertion. Duties involve moving materials weighing up to 5 pounds on a regular basis and up to 20 pounds on an occasional basis. Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines.
WORKING CONDITIONS
Usual office working conditions, where the noise level is typical of most office environments with telephones, personal interruptions, and background noises. Significant daily contact in person and by phone with staff.

SUPERVISION RECEIVED
Works under the general supervision of the Controller.

This is a full-time, Classified, hourly (non-exempt) position.
