Job Description
The Associate, Operations plays a critical role in ensuring The Commit Partnership's workplace, operational systems, and administrative processes operate efficiently, consistently, and with exceptional service. This role owns the day-to-day coordination of workplace operations by managing facilities, vendor partnerships, operational systems, employee onboarding logistics, organization-wide events, and office communications that enable staff to focus on advancing student-centered outcomes.
Serving as a trusted operational partner and reporting to the Operations Manager, the Associate serves as project lead on most operations strategy and initiatives, and administers operational systems, develops scalable processes and organizational knowledge resources, and collaborates with the Operations Coordinator and cross-functional teams to continuously improve the employee experience. Success in this role requires exceptional organization, strong project coordination skills, a customer service mindset, and a passion for building reliable systems that help others succeed.

The salary range for this role is $60,000–$78,000 annually.
Please note that for external candidates, the expected salary range is approximately $60,000-$69,000 depending on experience, qualifications, and internal equity.
Requirements:Essential Duties and Responsibilities
1. Office Operations & Workplace Experience
- Coordinate the day-to-day operations of Commit's workplace, ensuring a safe, organized, functional, and welcoming office environment.
- Conduct routine office walkthroughs to identify maintenance, safety, and operational needs while coordinating timely resolution in accordance with organizational safety standards.
- Coordinate workplace communications, visitor experience, and office operations in partnership with the Operations Coordinator.
- Partner with internal teams to anticipate workplace needs and implement operational solutions that enhance the employee experience.
2. Facilities, Vendor & Administrative Coordination
- Coordinate facilities requests, maintenance, repairs, and communications with property management and external vendors.
- Manage day-to-day vendor relationships, including service scheduling, contract documentation, performance tracking, and renewal management.
- Administer procurement processes, purchase requests, operational purchasing, and invoice approvals in accordance with organizational policies.
- Coordinate annual operational renewals, recurring vendor agreements, subscriptions, and facility-related contracts while maintaining accurate documentation and renewal schedules.
- Lead operational workplace improvement initiatives, including office moves, equipment replacements, furniture coordination, on-site and off-site inventory, seating chart and office enhancements.
3. Operational Systems & Process Support
- Administer and continuously enhance Commit's internal service management platform (Freshservice), ensuring Operations team requests are appropriately triaged, assigned, tracked, and resolved while supporting the platform's ongoing development and adoption across the organization.
- Design, build, and maintain service workflows, request forms, automations, request categories, and operational processes within Freshservice to improve efficiency, consistency, and the employee experience.
- Develop and maintain Commit's operational knowledge base, including knowledge articles, organizational policies, best practices, standard operating procedures (SOPs), workflows, and process documentation that support consistent service delivery and organizational learning.
- Monitor service requests, platform performance, and operational metrics to identify trends, recommend improvements, and strengthen internal operations.
- Maintain operational calendars, recurring maintenance schedules, renewal trackers, and other administrative systems that support workplace operations.
- Generate operational reports, dashboards, and documentation that support planning, resource management, and continuous improvement initiatives.
4. Meetings, Events & Logistics
- In conjunction with our Talent and People Operations team, own the operational planning and execution of organization-wide meetings, trainings, celebrations, and special events, ensuring a high-quality, consistent experience for staff, partners, and guests.
- Coordinate logistics with internal stakeholders and external vendors, including venues, meeting spaces, catering, technology, hospitality, event materials, and day-of execution.
- Partner with the Communications team to maintain shared organizational calendars, conduct recurring calendar audits, and promote consistent scheduling practices across the organization.
- Develop and maintain event planning documentation, operational timelines, and event playbooks to support consistent execution and continuous improvement.
5. Employee Onboarding & Offboarding Support
- Own the operational onboarding and offboarding experience by coordinating workspace readiness, equipment, supplies, access requests, and logistical needs.
- Coordinate onboarding timelines, operational checklists, workspace transitions, and employee logistics to ensure a seamless onboarding experience.
- Manage operational updates related to employee departures, equipment retrieval, workspace transitions, and organizational access changes.
- Coordinate workplace technology requests through established operational and IT workflows while ensuring timely resolution.
- Serve as project lead on operations strategy and initiatives, partnering with cross-functional teams on special projects aligned with departmental and organizational priorities.

Education and Experience Required
- Bachelor's degree preferred; equivalent education and relevant professional experience will be considered.
- 2–4 years of experience in operations, office administration, workplace operations, facilities coordination, project coordination, or a related field.
- Demonstrated commitment to improving student outcomes and advancing educational equity.
- Exceptional organizational, project management, and time management skills with strong attention to detail.
- Strong customer service orientation and the ability to build collaborative relationships across departments and with external partners.
- Excellent written and verbal communication skills.
- Demonstrated ability to develop, document, implement, and continuously improve operational processes and systems.

Preferred Qualifications
- Experience supporting workplace operations in a nonprofit, education, consulting, or professional services environment.
- Experience creating and maintaining SOPs, process documentation, or operational workflows.
- Experience administering ticketing or service request platforms such as Freshservice, Freshdesk, or similar systems.
- Experience coordinating vendor relationships, contract renewals, and workplace operations.
- Experience using Salesforce, SharePoint, OfficeSpace, or comparable workplace management platforms.

Work Environment
This position primarily operates in a professional office environment but may require travel to meetings, partner organizations, fundraising events, or community events. The noise level in the work environment is typically moderate.
