Job Description

Position Summary

Presbyterian Village North is seeking an experienced and highly organized Executive Administrative Assistant to provide comprehensive administrative support to the Executive Director and senior leadership team. This position serves as a key point of coordination for executive communications, meetings, special projects, regulatory and licensing documentation, and day-to-day administrative operations.

The ideal candidate is professional, detail-oriented, resourceful, and comfortable managing multiple priorities in a fast-paced senior living and healthcare environment. This role requires excellent communication skills, sound judgment, discretion, and the ability to work independently while maintaining the highest level of confidentiality.

Key Responsibilities
  1. Provide high-level administrative support to the Executive Director and other senior leaders.
  2. Manage calendars, meetings, correspondence, phone calls, reports, presentations, and other executive communications.
  3. Coordinate leadership meetings, including agendas, meeting materials, minutes, room arrangements, and follow-up items.
  4. Draft, proofread, format, and prepare professional correspondence, reports, presentations, policies, procedures, and other documents.
  5. Serve as a liaison between executive leadership, departments, residents, visitors, vendors, and outside organizations.
  6. Coordinate and manage special projects as assigned by the Executive Director.
  7. Manage reception staff, including scheduling and coverage.
  8. Maintain executive files, records, regulatory materials, licenses, contracts, and renewal deadlines.
  9. Assist with facility license renewals and ensure required applications and documentation are completed accurately and timely.
  10. Provide Notary Services and general administrative support as needed.
  11. Maintain confidentiality when handling sensitive business, employee, resident, and organizational information.
Qualifications
  1. High school diploma required.
  2. Five or more years of executive administrative or executive secretarial experience; long-term care, senior living, or healthcare experience preferred.
  3. Strong proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  4. Excellent written, verbal, proofreading, and organizational skills.
  5. Demonstrated ability to prioritize competing deadlines and manage multiple projects simultaneously.
  6. Strong interpersonal skills with the ability to communicate professionally with individuals at all levels of the organization.
  7. Ability to handle confidential and sensitive matters with discretion, tact, and professionalism.
  8. Exceptional attention to detail and accuracy.
  9. Genuine interest in serving older adults and supporting the mission of a senior living and healthcare organization.
