Accounting Specialist in Allen, Texas at Swagelok North Texas

As our Accounting Specialist, you’ll help deliver that experience by managing daily invoicing and a variety of customer billing portals. You’ll make sure invoices meet customer requirements, include the right documentation, and are successfully accepted for payment. When an issue comes up, you’ll work with customers and teammates to find the answer and keep things moving.

Customer billing and portal management will be a significant part of your day. You’ll learn each customer’s requirements, keep submissions moving, and stay on top of issues that need attention.

• Prepare and submit invoices and supporting documentation through SAP, EDI, and customer billing portals.
• Monitor submissions and resolve rejected invoices, missing documents, purchase order discrepancies, and other issues that could delay payment.
• Manage portal account setup, customer account codes, contacts, user access, and multifactor authentication requirements.
• Work with customers and internal teams to resolve billing questions and discrepancies.
• Reconcile daily incoming payments through SAP and our banking integration.
• Maintain clear portal instructions, billing procedures, and records of outstanding issues and follow-up actions.
• Process service commissions accurately and on time.
• Identify ways to simplify processes, reduce recurring errors, and improve efficiency.
• Cross-train to provide backup support to the Senior Accounts Receivable Specialist.

You’re organized, dependable, and comfortable working through detailed requirements across multiple systems. You keep track of what’s outstanding, communicate when something needs attention, and follow through without needing repeated reminders. You also know that good customer service means being helpful, responsive, and clear.

You’ll bring:

• At least three years of experience in billing, accounts receivable, accounting support, or a related role.
• Strong Excel skills and the ability to learn and navigate multiple customer systems.
• Accuracy and attention to detail while managing competing deadlines.
• Professional written and verbal communication skills.
• Initiative, sound judgment, and a willingness to ask questions and learn.
• A collaborative approach and pride in doing your part well.

Experience with SAP, EDI, Ariba, Coupa, Taulia, or similar systems is preferred. Manufacturing or distribution experience is a plus. An associate degree in accounting, business, or a related field is preferred; equivalent relevant experience is welcome.
