Job Overview:

The Surgery Scheduler & Prior Authorization Specialist plays a critical role in coordinating surgical procedures and ensuring all necessary authorizations are obtained prior to services. This position is responsible for scheduling outpatient and inpatient surgeries, communicating with patients, providers, and surgical teams, and verifying insurance requirements for procedures. The specialist ensures timely and accurate submission of prior authorization requests and follows up until approvals are secured. Attention to detail, strong communication skills, and a thorough understanding of insurance processes are essential for success in this role.

Qualifications:

Required:

  • High School Diploma or Equivalent
  • Minimum 2 years of experience in surgical scheduling and prior authorization in a medical office or hospital setting
  • Strong knowledge of medical terminology, CPT/ICD-10 codes, and insurance authorization processes
  • Proficiency in EMR systems EPIC preferred and Microsoft Office Suite
  • Familiarity with commercial, Medicare, and Medicaid insurance plans
  • Excellent organizational and time management skills
  • Ability to communicate clearly and professionally with patients, providers, and insurance representatives
  • Strong attention to detail and problem-solving skills

Preferred:

  • Associate Degree in Healthcare or related field

Scheduling Requirements:

  • Working Shift: Monday – Friday
  • Day Shift: 8:30AM – 5:00PM
  • Full-Time, 40 Hours Per Week

Essential Functions:

  • Coordinate and schedule surgeries across multiple specialties based on provider availability, facility schedules, and patient needs
  • Obtain and verify all necessary documentation, including insurance coverage, referrals, and clinical notes for surgical procedures
  • Submit prior authorization requests to insurance companies and follow through until approvals are received
  • Maintain accurate records of scheduled procedures, authorizations, and communication in the EMR system
  • Educate patients on surgery prep instructions, timeframes, location, and any required pre-surgical testing
  • Serve as a liaison between patients, providers, insurance companies, and surgical centers
  • Track and monitor authorization status and escalate issues when needed to avoid delays in care
  • Ensure compliance with HIPAA regulations and organizational protocols
  • Provide excellent customer service while managing a high volume of cases efficiently
