The IT Coordinator is responsible for managing and maintaining EBI’s information technology systems and infrastructure, providing technical support to employees, and coordinating IT-related projects and services to ensure efficient and secure business operations. This position serves as the primary contact for day-to-day technical support and collaborates with internal departments and external vendors to maintain optimal system performance, reliability, and data integrity. The IT Coordinator also assists in implementing IT policies, security practices, and technology solutions that support EBI’s ISO 9001 quality management system and long-term operational goals.
Major Areas of Accountability:-
Technical Support & User Assistance
• Serve as the first point of contact for all IT-related issues, providing timely technical support and troubleshooting for hardware, software, and network concerns.
• Maintain a professional and responsive help desk approach to minimize user downtime.
• Escalate unresolved issues to external managed service providers (MSPs) or specialized vendors as needed.
• Track and document all service requests, incidents, and resolutions in an organized and systematic manner. -
System & Network Maintenance
• Install, configure, and maintain workstations, servers, printers, mobile devices, and related peripherals.
• Manage user accounts, permissions, and access levels in accordance with company policies.
• Monitor network performance and ensure systems are operating efficiently and securely.
• Perform regular system updates, backups, and data recovery testing to minimize operational risk. -
IT Asset Management & Procurement
• Maintain accurate inventory of all IT hardware, software licenses, and peripherals.
• Coordinate procurement of new IT assets and software renewals in collaboration with Accounting and Operations.
• Work with vendors and service providers to ensure timely delivery, setup, and maintenance of IT equipment.
• Track warranty status, lease agreements, and support contracts to ensure compliance and cost-effectiveness. -
Network Security & Compliance
• Implement and monitor cybersecurity protocols including firewalls, antivirus software, and user access controls.
• Conduct regular audits of user accounts, passwords, and device configurations to ensure compliance with EBI and ISO 9001 standards.
• Assist in developing, communicating, and enforcing IT security and data protection policies.
• Support internal and external audits related to information security and technology management. -
Project Coordination
• Assist in planning, scheduling, and executing IT projects such as system upgrades, software deployments, and infrastructure improvements.
• Track project milestones, manage documentation, and coordinate with relevant departments and vendors.
• Provide status updates to management and ensure projects meet deadlines and performance expectations. -
Training, Documentation & Communication
• Develop and maintain IT documentation including network maps, configuration guides, and standard operating procedures.
• Conduct user training sessions on new technologies, software updates, and cybersecurity best practices.
• Foster clear communication between technical resources, internal departments, and external IT partners. -
General Duties
• Generate regular reports on IT system performance, incidents, and improvement opportunities.
• Participate in company meetings and support initiatives related to safety, quality, and operational excellence.
• Maintain professionalism when interacting with internal teams, leadership, and external vendors.
• Perform other duties as apparent or assigned. -
Emergent Availability
• This position requires intermittent availability during evenings, weekends, or early mornings for system updates, outages, or emergency IT support.
• This does not restrict use of regular time off and is only required during critical events.
Education and Experience:
• Associate’s degree in Information Technology, Computer Science, or related field (Bachelor’s preferred).
• 2–4 years of experience in IT support, systems administration, or a similar technical role.
• Experience managing Microsoft 365, Windows-based networks, and user accounts.
• Experience with ISO 9001 quality systems preferred.
• Valid driver’s license.
Technical Skills:
• Strong knowledge of operating systems (Windows, macOS, and basic Linux), networking protocols (TCP/IP, DNS, DHCP), and cybersecurity fundamentals.
• Familiarity with cloud-based systems (e.g., Microsoft 365, OneDrive, SharePoint).
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and remote support tools.
• Strong troubleshooting, diagnostic, and analytical abilities.
• Ability to prioritize and manage multiple tasks in a fast-paced environment.
