About This Position

Summary: Performing the following duties personally or through subordinate staff.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Ensures owner pay applications are complete and accurate. Provides monthly billings report to Controller.
  • Provides management with weekly and monthly reports specific to job progress (percent complete, job status summary, subcontractor schedule of values)
  • Preparation of daily cash, weekly check runs for AP, and prepares necessary supporting documentation and justification.
  • Preparation of monthly client billings with project manager and on site superintendents.

Specific duties and responsibilities include:

Accounts Receivable Duties:

  • Review payment applications from subcontractors as to % complete.
  • Evaluates field % complete reporting weekly.
  • Works with Project Managers on Monthly Billings to Owners/Clients
  • Prepare and collect Partial and Final Lien waivers as required by owner contracts.
  • Collect various payment paperwork required owner contracts.
  • Assist with weekly check run & 3-week payables forecast.
  • Prepare financial statement schedules per Controllers instructions.
  • Run form 1096 and 1099 at year-end.
  • Logs in cash receipts to CMiC and excel cash reports.
  • Complete Sales and Use tax returns for various states. Completes Highway Use Tax.
  • Prepares and distributes intercompany receivables (Due To/From).

Cash Management:

  • Monitor corporate cash position on a daily basis
  • Review and process all cash deposits
  • Prepare weekly cash flow forecasts and update these forecasts to accurately project cash availability and cash needs on a timely basis
  • Prepare monthly bank reconciliations
  • Review accounts receivable aging report, assist in the collection of all receivables with project managers
  • Reconcile inter-company accounts and miscellaneous receivable invoices

Education/Experience:

Bachelor's degree in Accounting from four-year College or University. At least (5) years related experience and/or training; or equivalent combination of education and experience.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Computer skills:

Knowledge of Word Processing software, Spreadsheet software, Accounting software, Inventory software, Payroll systems, Internet software, and Order processing systems. Experience with CMiC software is a plus.

Supervisory Responsibilities:

Assist in the supervision of 5-6 employees in the Accounting Department. Carries out certain supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include planning, assigning, and directing work; addressing complaints and assist in resolving problems.

Work Environment:

The noise level in the work environment is usually quiet.

Physical Demands:

The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision. While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand; walk and use hands to finger, handle, or feel.
