Together with our trusted community partners, donors and volunteers ICA provides innovative solutions to the challenges faced by newcomers and services that range from mentoring immigrant entrepreneurs to clinical counselling supports, ensuring that our community, including immigrants, thrive and prosper.

We are looking for a part-time Information and Technology Coordinator who will be responsible for ensuring the timely and accurate collection of client and service data for reporting purposes. This position requires the individual to work directly with programs and to support teams in capturing data on all program web-related interfaces. The Information and Technology Coordinator provides guidance and support in terms of databases, platforms, accounts and related IT issues to all team members and clients at ICA. Serves all individuals, including BIPOC, LGBTQ2+ and Indigenous. Reports to the Associate Director of Client Services.

What you will bring to the role:

• Completion of A+ certification.

• Completion or near-completion of the latest MCSE certification.

• 4 plus years' experience in a professional learning team and/or web development and user supports, IT network maintenance, database management, web communication and user support, preferably in a not-for-profit environment.

• Minimum of 2 years of technical support experience.

• Uses technology effectively.

• Knowledge of e-learning, web development, media production and post-production processes.

• Experience installing, maintaining, troubleshooting, and providing support for MS Small Business Server™, Windows XP, Microsoft Office™ products, MS Exchange™, SharePoint Services™, MS CRM, anti-virus and anti-spam and/or other similar technology, iCare and CARMIS Database Management systems.

• User support experience in a relevant field.

• Excellent customer relationship management skills.

• Good listener/communicator, able to understand program needs and deliver technical solutions.

• Good time management, ability to multi-task.

• Self-motivated and is an effective team player.

• Commitment to supporting newcomers and immigrants.

• Have strong level of experience configuring, supporting, and troubleshooting Windows Servers 2012 /2016 / 2019 operating systems, Office 365, Azure AD and Active Directory.

• Must be familiar with Network equipment configuration and installation (Firewalls, Routers, Switches, Access Points, Zoom rooms technology etc.).

• Have IT experience with an emphasis on Microsoft technologies including SharePoint and Microsoft 365 apps.

• Have developed project work with experience managing or administering Office 365 tenants and transformational projects, deploying, and configuring SharePoint Online, Microsoft Teams, or Yammer.

• Have knowledge or exposure in areas such as: Security and Compliance Center, Azure Information Protection / Governance, Azure Active Directory, Yammer, and Teams configuration.

• Have experience with and understanding of virtualization on Microsoft platforms including Hyper-V.

• Knowledge and understanding of online technologies such as blogs, wikis, forums, and social media, and how they can be effectively used in an educational environment.

• Keen understanding of diversity issues to work with persons from diverse cultural and ethnic backgrounds.

• A passion for helping others and a positive mindset.

• Proven ability to effectively navigate and utilize IT systems, software, and hardware to streamline workflows, troubleshoot issues, and enhance productivity, backed by demonstrated experience or training.

• Strong technical proficiency in leveraging workplace technology to improve efficiency, collaborate with teams, and adapt to emerging tools and methodologies to serve clients effectively and on time.

• Essential skills:

o Internet research and navigation

o Demonstrable use of MS Office products including Outlook, Word, Excel, PowerPoint, Teams, SharePoint and any other productivity software that supports the automation of processes and workflows.

o Basic graphic design (create posters and social media posts)

o Social media management (understanding of Facebook, Instagram, LinkedIn, Twitter)

o Basic project management and team communication tools (Google Drive, MS Teams, One Drive, Zoom)

o Database management (iCare, CRM, OCMS, CARMIS)

o Understanding of best practices of cybersecurity for data protection, phishing prevention, and secure system use.

o Knowledge of Artificial Intelligence technology, cloud computing and cybersecurity (ChatGPT)

o Problem solving techniques

• Data Analysis and Reporting:

o Experience in using tools like Excel, (advanced functions, pivot tables), CRM queries or Power BI to analyze data and generate reports.

o Automation & Workflow Optimization: Familiarity with macros, scripting (e.g., VBA, Python), or automation tools like Power Automate to improve efficiency.

• This position requires proof of WHMIS training, and clear criminal record check (including vulnerable populations check).

Additional assets we value:

• Proficiency in a re/settlement language preferred.

• Previous work experience on project-based initiatives an asset.

• Indigenous cultural competencies or lived experience with Indigenous communities.

Compensation and hours: This position starts at $34.75 per hour, working 25 hours per week, and requires union membership.

Contract period: until March 31, 2026.
