You will act as a critical partner to executives, ensuring seamless day-to-day operations, optimized scheduling, and smooth coordination across multiple stakeholders and time zones. The position requires strong anticipation skills, discretion, and the ability to manage competing priorities with precision. You will be responsible for enabling executive productivity by handling complex calendars, travel logistics, communications, and strategic coordination. In addition, you will contribute to special projects and cross-functional initiatives that support organizational efficiency. This is a high-impact role where attention to detail, judgment, and reliability directly influence leadership effectiveness and operational success.
In this role, you will be responsible for ensuring smooth executive operations and enabling leadership effectiveness through strong organizational and coordination support.
- Manage and maintain executive calendars, including scheduling, prioritization, and multi-stakeholder coordination.
- Anticipate executive needs by preparing relevant materials, context, and briefings in advance.
- Coordinate complex domestic and international travel arrangements, including itineraries and logistics.
- Serve as a key point of contact between executives and internal or external stakeholders.
- Manage time-sensitive requests while exercising sound judgment and confidentiality.
- Plan and execute meetings, offsites, and team events with end-to-end coordination.
- Support special projects and cross-functional initiatives as required.
- Maintain and organize key documentation such as org charts, reports, and distribution lists.
- Ensure consistent professionalism and confidentiality across all interactions.
This position requires extensive executive support experience combined with strong organizational, communication, and prioritization skills.
- 8+ years of experience as an Executive Assistant or in a similar high-level administrative support role.
- Proven experience in fast-paced, high-growth, or dynamic organizational environments.
- Exceptional written and verbal communication skills.
- Strong organizational and time management abilities with attention to detail.
- Ability to manage multiple priorities and adapt quickly to changing demands.
- High level of discretion, confidentiality, and professional judgment.
- Proficiency in Microsoft Excel and PowerPoint.
- Strong problem-solving skills and ability to work independently with minimal supervision.
- Ability to coordinate across time zones and manage complex scheduling requirements.
