About the Role:
The Executive Assistant provides high-level support for executive management including heavy calendar management and successful coordination of business meetings. Serve as liaison between executives and other departments within the organization. Exercise independent judgment in the resolution of administrative problems. Prioritize and manage multiple projects simultaneously with little or no supervision. This position will require to be on-site.
Essential Function:
Meeting & Calendar Management
- Coordinate meetings and manage calendars for the Executive team
- Facilitate executive management and quarterly board meetings, including scheduling, travel, and dinner arrangements
- Prepare presentation materials for board meetings
- Ensure meeting agendas remain focused and productive
Travel & Event Coordination
- Arrange travel for executives, including itineraries and agendas
- Organize corporate events and other executive-requested events (e.g., holiday dinners)
- Manage Direct Travel/Concur for all executives
Financial & Administrative Support
- Review and verify facility expenses with Finance to ensure budget compliance; manage corporate billing for executive approval
- Assist with executive expense reporting and reconciliation
- Compile and analyze data, prepare reports and recommendations
- Draft correspondence and prepare legal documents for signature (NDAs, SOWs, Contracts)
Communication & Collaboration
- Create and distribute global communications related to executive matters
- Serve as liaison between executives and other departments
- Collaborate with the executive team to determine and prioritize business SLRP (Strategic Long-Range Planning)
Additional Duties
- Assist CEO with business-related items as requested
- Perform other duties as required
Requirements:
- High school diploma or equivalent required; Associate or Bachelor’s degree strongly preferred
- Minimum five years’ experience as an executive administrative assistant supporting CEO/President-level executives (experience in technology or high-growth environments preferred)
- Demonstrated ability to handle sensitive information with a high level of confidentiality
- Strong analytical skills; ability to analyze and present large amounts of data in an organized manner
- Expert-level proficiency in MS Office (Excel and PowerPoint)
- Advanced understanding of financial statement modeling (P &L, balance sheet, cash flows)
- Excellent written, verbal, and presentation skills
- Strong organizational, time-management, and multitasking abilities; able to meet tight deadlines
- Willingness to work outside typical business hours to support global teams
- Agile self-starter who works independently and collaboratively in a cross-functional environment
- Proactive communicator and problem-solver with attention to detail

Compensation:
The US compensation base range for this full-time position is $75,000-$85,000 (annualized) + target annual bonus.
Our compensation ranges are determined by a number of factors, including but not limited to the role, location, job-related skills, relevant education, experience and training.
The range displayed on each job posting reflects the target range for new hire base salary for the position across all US locations and varies by the location of the position.
