Summary:
The Office Support Specialist is the first point of contact for patients at the Torrey Building location, so professionalism and excellent customer service skills are a must. The Office Support Specialist registers patients for intakes for Substance Use Disorder Treatment, walk-in assessments for Substance Use Disorders, and Mental Health Services. They verify patient insurance benefits and navigate MNsure applications as needed. The Office Support Specialist collaborates with a multidisciplinary team and must be able to adapt to changes in their work functions and environment.
Essential Duties and Responsibilities:
- Patient services:
- Interact in a positive and compassionate manner with patients, co-workers, community partners, and visitors.
- Register, verify, and update patient demographic information in patient’s EHR at every visit
- Answer patient questions and help ensure the highest quality of customer service
- Assist patients with completing MNsure Applications and other funding paperwork as needed.
- Verify and update insurance information and benefits as applicable.
- Soft Skills:
- Answer phones and transfer calls to the appropriate staff member as needed.
- Customer-oriented communication skills
- Receive and process cash and credit card payments for services rendered
- Manage Petty Cash and receipts as assigned
- Manage postage machine along with incoming and outgoing mail
- Patient Records:
- Maintain, manage, and upload patient records ensuring confidentially in a manner set forth by policy and procedure.
- Respond to records request accurately, effectively, and in a timely manner.
- Maintain professional verbal and written communication with patients, providers, coworkers, and community partners.
- Maintain orderly and clean patient areas.
- Enter DAANES data into the DAANES website as assigned
- Perform other duties as assigned.
- Must be 18 years of age or older.
- Must have a high school diploma or general education diploma (GED).
- Must pass background studies conducted by the Minnesota Department of Human Services.
- Must have current CPR and First Aid certification or obtain it before direct patient contact.
- Preferred one year of experience as a Receptionist or Administrative Assistant;
- Prior knowledge and experience working within state and federal confidentially laws such as, 42 CFR and HIPAA.
- Knowledge of Electronic Health Records Systems.
- Excellent organizational and multitasking skills
- Must become MNsure Certified within 60 days of hire.

Degree of Authority
This individual performs duties as directed by the Director of Compliance and Information and according to policies and procedures that govern activity at the Center for Alcohol & Drug Treatment.

While performing duties, this individual is required to talk, hear, sit, stand, walk, and use fingers to touch, handle, feel, and finger objects; to reach with arms and hands. This individual must be able to read, write and comprehend. Specific vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. This individual may occasionally lift and/or move up to 25 pounds.
Work Environment
This individual has minimal exposure to blood, body fluids, or caustic substances. The noise level in this environment may be high at times.
This position is designated as in-person. The Center reserves the right to modify the work arrangement based on operational needs, patient requirements, and performance considerations.
