Orchid Isle Ford is looking for a detail-oriented and organized Warranty Administrator to join our team.
This is a key role within our Service Department, responsible for ensuring warranty claims are processed accurately, efficiently, and in accordance with manufacturer standards. The Warranty Administrator plays an important part in supporting technicians, advisors, and management by helping maintain compliance, recover revenue, and keep operations running smoothly.

The Warranty Administrator is responsible for managing all aspects of the dealership’s warranty claims process, ensuring accuracy, compliance, and timely submission to manufacturers. This role requires strong organizational skills, attention to detail, and the ability to work closely with Service Advisors, Technicians, and manufacturer representatives. The Warranty Administrator plays a key role in safeguarding dealership revenue while maintaining excellent relationships with OEM partners and supporting a smooth service department workflow.
Key Responsibilities:
- Prepare, review, and submit warranty claims to manufacturers in accordance with OEM policies and guidelines.
- Verify repair orders for accuracy, completeness, and proper documentation before claim submission.
- Ensure all warranty work is performed and documented according to manufacturer standards.
- Track claim status, follow up on unpaid or rejected claims, and resolve discrepancies.
- Maintain up-to-date knowledge of manufacturer warranty policies, procedures, and time allowances.
- Provide guidance to Service Advisors and Technicians on proper documentation and processes for warranty work.
- Prepare and maintain warranty reports, records, and claim documentation.
- Collaborate with the Service Manager and Controller to reconcile warranty receivables and resolve outstanding balances.
- Assist with internal audits to ensure compliance and reduce risk of denied claims.
- Communicate with OEM representatives regarding claim status, policy interpretation, and program updates.
- Perform other administrative tasks as required to support the Service Department.
Qualifications & Requirements:
- High school diploma or equivalent required; post-secondary education in business or administration is an asset.
- Previous experience in warranty administration, service advising, or automotive office roles strongly preferred.
- Strong understanding of automotive repair processes and manufacturer warranty policies.
- Proficiency with dealership management systems (DMS) and Microsoft Office Suite.
- Excellent organizational and multitasking skills.
- Strong attention to detail and accuracy.
- Effective communication and problem-solving skills.
- Ability to work independently and as part of a team in a fast-paced environment.
