About This Position
Supervised by: Practice Manager
Interrelationships: Patients, family, community members, referral sources, and other healthcare team members
Job Summary:
To support the efforts of our clinical field staff and internal management staff of Dynamic
Wound Care. To work as a member of the office team helping to maintain necessary procedures
to ensure office functions smoothly, operates within regulations to maintain compliance,
maintain brand integrity, communicating with manager when needs for a smoother flow are
identified.
Essential Functions:
1. Attend and participate in weekly staff meetings.
2. Create an agenda for weekly staff meetings.
3. Take meeting minutes and distribute as needed.
4. Screen job applicants.
5. Supports clinical team with uploading documentation to the EMR to patient charts.
6. Answer, screen and triage all phone calls.
7. Welcome and screen all visitors in the office.
8. Ordering office supplies as needed.
9. Stock office kitchen and other supplies as needed.
10. Create daily patient visit folders for all providers.
11. Receive and distribute all mail and packages.
12. Creation of documents.
13. Serves as a role model for all colleagues by setting an example of high standards in dress, conduct, cooperation and job performance.
14. Observes confidentiality and safeguards all patient related information.
15. Accepts responsibility for regular attendance and punctuality and fulfills job requirements during scheduled working hours.
16. Develops a cooperative relationship and communicates effectively and professionally with all staff.
17. Immediately report any accident, incident, lost articles or unusual occurrence to your supervisor.
18. Submits expense reports promptly, being diligent to assigned budget unless otherwise approved by Administrator.
19. Monitors equipment for appropriate use and takes steps to keep misuse to a minimum.
20. Administrative Support of office tasks include but are not limited to taking out trash nightly, stock kitchen to include coffee supplies and refrigerated items, breakdown boxes as needed, shredding papers as needed and assist team in other areas as requested.
Requirements:QUALIFICATIONS:
Educational/Degree: High School Diploma or GED
Knowledge/Skills/Ability: Ability to work independently, make accurate, and at times, quick judgments. Ability to respond appropriately to staff requests. Acceptance of and adaptability to different social, racial, cultural and religious modes. Must possess strong computer skills to include but not limited to Outlook, Shared Drive, Teams, Microsoft Word, Xcel and ability to learn new software. Must have exceptional customer service skills and ability to act as the screener of all phone calls and visitors to office staff.
Experience: Minimum 1 year of experience in health care and at least 6 months of experience as a receptionist.
Physical Requirements:
Requires ability to kneel, squat, reach, twist, climb, walk, exposure to temperature and humidity
changes and ability to lift 25 - 50 pounds. Must possess sight/hearing senses or use appropriate
adaptive devices that will enable senses to function at a level required to meet the essential duties
of the position. Must provide evidence of annual TB test and other state-required tests or
examinations.
Mental Requirements:
Must be able to work independently, make judgements based on assessments and data available and act accordingly. Must be flexible, innovative and possess good interpersonal skills. Must be able to cope with mental and emotional stress and demonstrate emotional stability.
Working Conditions:
Be able to tolerate exposure to elements including, but not limited to, odors, blood, body fluids and excrements, adverse environmental conditions and hazardous materials.
Transportation:
Must have a current valid driver's license, auto liability insurance and reliable transportation.
