Role SummaryThe Service Advisor is the primary point of contact between Kelowna Truck & RV and our service customers. This role is responsible for coordinating service appointments, accurately documenting concerns, managing repair orders, and ensuring a seamless and professional customer experience from start to finish.
The ideal candidate is detail-oriented, customer-focused, and able to balance multiple priorities while maintaining a high level of organization and professionalism.
Key ResponsibilitiesCustomer Experience & Communication- Greet customers promptly and professionally, creating a positive and welcoming experience
- Accurately document customer concerns and vehicle issues
- Clearly explain service recommendations, required repairs, costs, and timelines
- Provide regular updates on vehicle status and communicate any changes promptly
- Prepare and manage accurate repair orders for technicians
- Coordinate workflow between technicians, parts department, and management
- Ensure efficient scheduling and timely completion of work
- Review completed repairs with customers, ensuring clarity and satisfaction
- Promote maintenance services, recommended repairs, and dealership programs where appropriate
- Support revenue growth while maintaining a transparent, customer-first approach
- Address customer questions, concerns, and complaints in a professional and solution-focused manner
- Escalate issues when necessary and ensure timely resolution
- Maintain accurate and organized records
- Ensure compliance with dealership processes, manufacturer standards, and documentation requirements
- Work closely with Service, Parts, and Sales teams to ensure a seamless experience
- Contribute to a positive, accountable, and high-performing team environment
- Perform additional responsibilities as required to support dealership operations
- Strong communication and interpersonal skills with a customer-first approach
- Excellent organizational and time-management skills
- Ability to manage multiple priorities in a fast-paced environment
- Professional, reliable, and detail-oriented
- Valid driver’s licence with a clean driving record
- Previous experience as a Service Advisor or in an automotive customer service role
- Basic understanding of vehicle systems, maintenance, and repair processes
- Experience with dealership management systems (DMS), scheduling tools, and Microsoft Office
