Prolific Design Build is looking for a high-energy, motivated Client Experience Manager to lead all front-end communication and shape the first impression of our brand. This role is not just administrative it is a sales and experience-driven position responsible for guiding every new lead into our design-first process.
Every call, text, email, and walk-in matters. This person sets the tone, builds excitement, and ensures every potential client feels confident taking the next step.

Key ResponsibilitiesClient-Facing & Sales:
Answer all incoming calls, texts, and inquiries with energy, professionalism, and urgency
Guide new leads into the design-first experience and schedule discovery meetings
Qualify leads using structured questions to understand project goals, timeline, and budget
Ensure all lead information is accurately entered and tracked in CRM
Follow up with leads consistently and proactively
Welcome and engage walk-in clients at the design studio
Maintain a high level of organization across all communication channels
Office + Operations Support:
Assist with purchasing materials and coordinating orders
Track receipts and organize expenses for projects
Support job tracking and internal documentation
Help keep project files, notes, and communication organized
Assist with general office coordination and day-to-day operational tasks
Support leadership with administrative needs and follow-through
Manage calendars and scheduling for the team
Every lead is responded to quickly and professionally
High conversion from inquiry to scheduled meeting
Clients feel excited and confident after the first interaction
No missed opportunities due to lack of follow-up or communication
Office tasks, receipts, and job tracking are organized and up to date
CRM is clean, accurate, and fully maintained
Strong communication skills both on the phone and in person
Naturally upbeat, positive, and engaging personality
Sales-minded with the ability to guide conversations
Highly organized and detail-oriented
Comfortable managing multiple conversations and tasks at once
Tech-comfortable and able to learn CRM systems quickly
Reliable, punctual, and accountable
Preferred Experience:
Experience in sales, customer service, or client coordination
Experience with CRM systems
Experience in construction, design, or related industries is a plus
