About This Position

Description:

We are seeking a highly organized, detail-oriented Operations Manager to oversee and continuously improve the operational infrastructure of a growing wealth management firm. This role is responsible for overseeing the operations team and their support of advisors and clients, managing daily operational processes, ensuring regulatory and compliance standards are met, improving internal workflows, and leadership with efficient systems.

The ideal candidate combines strong operational discipline with an entrepreneurial mindset, capable of both maintaining high standards and improving processes as the firm grows. This individual will serve as a key bridge between advisors and all departments across the firm, ensuring the firm operates smoothly and efficiently.

Requirements:

Key Responsibilities

Operational Leadership

  • Oversee the day-to-day operational functions in support of advisors and clients.
  • Develop, document, and maintain operational procedures and workflows to ensure operational efficiency across, client service, onboarding, and reporting.
  • Identify process improvement opportunities and implement solutions, create scalable processes to support firm growth, and document workflows and internal procedures.
  • Coordinate client onboarding & account administration, including the oversight of account opening, transfers, custodial paperwork, and account maintenance.
  • Work closely with the firm’s compliance team to ensure operational processes adhere to regulatory and compliance standards.

Team Leadership & Training

  • Promote a strong culture of efficiency, accuracy, and proactive problem-solving.
  • Train and mentor operations team members.
  • Establish operational standards and accountability.

Technology & Systems Management

  • Oversee operational components of the firm’s technology platform, including:
  • CRM systems
  • Portfolio reporting platforms
  • Workflow automation systems
  • Work with leadership to improve automation and integration across systems.
  • Implement operational technology enhancements and utilization of AI solutions where applicable.

Qualifications

  • Bachelor’s degree.
  • At least 7 years of client service / operational experience within an SEC-registered investment adviser or similar institution.
  • Strong project management skills and able to simultaneously manage multiple projects.
  • Excellent communication, analytical, and organizational skills.

  • Portfolio reporting systems (Orion, Black Diamond, Tamarac, etc.)
  • Custodial platforms (Schwab, Fidelity, Pershing, etc.)
  • Alternative Investment (CAIS, etc.)
  • Strong Microsoft Excel and operational analytics skills
