Job Description

The Harvard Global Health Institute (HGHI) is an interfaculty initiative that facilitates collaboration across the Harvard community and partners worldwide to advance global health equity. We tackle the greatest health challenges of our time through innovative transdisciplinary research, education, and partnerships that build knowledge and catalyze positive change in global health. Reporting to the Associate Director of Programs, the successful candidate will support the ongoing operations of the Programs team. The incumbent will play a significant role in ensuring that logistical needs are met in connection with HGHI programming.

Job-Specific Responsibilities:

Duties and responsibilities include, but are not limited to, the following:

  • Support the Programs team in planning and coordinating the logistics and agenda for team meetings, workshops, and other engagements as required. Specific responsibilities include but are not limited to setting and communicating agenda, summarizing meeting notes, collecting and distributing project materials, booking rooms, coordinating A/V needs.
  • Serve as a point of contact for internal and external partners. Provide for smooth day-to-day flow of communications between the program team and partners and other stakeholders.
  • Draft, edit and prepare correspondence and other materials as required by the Programs team. Research, evaluate, and maintain resources that support the needs of Programs Team. Gather, help summarize data and assist with report preparation.
  • Work closely with the Programs Team and Communications Manager to organize in-person and virtual events including symposia, webinars, workshops and scholarly working groups etc. Duties include preparation of materials, on-site and online support, registration management, and evaluation.
  • Support implementation of faculty-led projects, fellowships and student engagement activities. Anticipate and resolve problems and update supervisor on status of projects.
  • Work closely with finance team to track project spending, assist with reconciling corporate card and Pcard transactions, and coordinate guest/speaker reimbursements, including understanding and consistently implementing Harvards finance and travel policy.
  • Performs other related job duties as required.

Qualifications

Basic Qualifications are the minimum threshold a candidate must meet in order to be considered for this role.

  • Minimum of three years of related experience; education beyond high school may count towards years of experience.

Additional Qualifications and Skills:

  • Strong organizational skills and demonstrated ability to multi-task. Proven project and/or program management skills. Strong verbal and written communication skills; excellent computer skills; ability to be tactful and discrete; must exercise sound judgment. Must be self-driven with proven ability to problem solve and anticipate needs. Proven record of communicating and working with a broad range of constituents and stakeholders. Excellent interpersonal and communication skills. Interest in global health or public health.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the Universitys Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.

Salary Grade and Ranges
