Position Description

Goodfellow Bros. Complementing this legacy, Pac Rim Builders focuses on residential construction, delivering high-quality homes through efficient coordination, cost management, and strong collaboration with vendors and trade partners to ensure projects are completed on time and within budget.

GBI has always maintained that our employees are our greatest asset, and we are now seeking to add to our team. We are looking for a Project Administrator to join our team in Kihei, Maui (Hi).

Position Summary

Under the direction of the Owner/Construction Manager, the Project Administrator manages vendor coordination, contract administration, and project documentation for residential production home builds.

This position ensures that homes are built on schedule and within budget by coordinating material procurement, maintaining accurate job cost records, processing contracts and change orders, and supporting field operations with timely and organized administrative services. The ideal candidate is detail-oriented, organized, proactive, and capable of balancing multiple homes in various stages of construction while maintaining strong relationships with vendors, trade partners, field staff, and homeowners.

Essential Functions

Project Coordination & Procurement

  1. Solicit, evaluate, and compare bids from vendors and subcontractors
  2. Prepare and manage project budgets and cost tracking spreadsheets
  3. Maintain accurate option pricing and cost databases
  4. Issue purchase orders and subcontract agreements
  5. Negotiate pricing and terms with suppliers and trade partners
  6. Track material lead times and ensure timely delivery

Construction & Field Support

  1. Coordinate closely with the Construction Manager to align purchasing with build schedules
  2. Review plans, specifications, and selections to ensure scope accuracy before ordering
  3. Process homeowner selections and change orders, including pricing and documentation

Financial & Contract Administration

  1. Maintain job cost tracking and support budget management
  2. Verify invoices against purchase orders and approve for payment
  3. Assist with monthly budget reviews and cost variance reporting
  4. Prepare subcontractor payment applications and lien releases
  5. Publish Notices of Completion

Documentation & Compliance

  1. Maintain organized digital project files
  2. Coordinate permit documentation and inspections as required
  3. Support warranty documentation and project closeout packages

Communication & Continuous Improvement

  1. Serve as a key point of communication between vendors, trade partners, field teams, and internal stakeholders
  2. Assist leadership with reporting, forecasting, and cost analysis
  3. Identify opportunities for cost savings and process improvements

This position offers a salary range of $75,000 to $90,000 annually, depending on experience

Position Requirements

Required Education, Experience, and Technical Knowledge

Education

  1. High School Diploma or GED required
  2. Associate’s or Bachelor’s degree in Construction Management, Business Administration, or related field preferred

Experience

  1. Minimum 3–5 years of experience in residential construction purchasing, project administration, or related field
  2. Experience in production home building strongly preferred

Computer Skills

  1. Proficient in Microsoft Office (Excel, Word, Outlook)
  2. Experience with construction management software preferred
  3. Ability to manage spreadsheets, budgets, and digital filing systems

Certifications & Licenses

  1. Valid Driver’s License preferred
