At MLT, we create solutions by empowering our people to fulfill their passion for service. In support of government customer, we are seeking an Administrative Specialist, with experience in supporting (DOD Federal acquisition programs; knowledge of policy/ principles/organizational protocols).

Job Duties:

  • Assist personnel with completion of administrative travel requirements to include reviewing DTS authorizations and vouchers submitted by customer travelers.
  • Ensure DTS document compliance (or the applicability of any deviations from compliance) with the current version of the JTR, assisting in the review process.
  • Coordinate with the PMO Organizational Defense Travel Administrator (ODTA) on the annual trainings and training documentation required for all customer personnel within the teams they support to ensure personnel are informed of their training requirements.
  • Provide support to customer personnel in working ODTA to troubleshoot administrative issues relevant to processing travel documents.
  • Shall, via the JPAS, transmit SECRET-level security clearance information and process visit requests for customer personnel attending classified meetings.
  • Will monitor daily roll call in accordance with program procedures and report the status of the workforce (e.g., on hand, annual leave, sick leave, federal holiday temporary additional duty) via Marine Online (MOL).
  • Execute daily calendar management efforts, in support ofthe PM, DPM and TCE Staff and other personnel.
  • Prepare and provide printed read-ahead material to support meetings, as required, no less than 3 business days prior to scheduled meetings.
  • Provide enterprise-wide support to coordinate meetings, including, for example, scheduling meetings and reserving meeting/conference rooms.
  • Use the VIPER Work Request Solution and Information Technology Requests to submit approved requests from MCSC personnel for facility and information technology support, coordinating for the TCE Operations Manager. Monitor and provide updates to the requestor regarding the status of each request until its completion.
  • Coordinate with the Operations Manager to manage floor plans for the PMO, including updating MS 365 SharePoint G4 workspace assignment maps and databases, and inputting new arrivals into the proper database for inclusion to official floor plans.
  • Assist the Operations Manager with preparation of monthly floor audits conducted by MCSC G4 and provide support of the same as necessary.
  • Assist in de-conflicting floor audit results, as required.
  • Receive and deliver mail to the MCSC mail room courier on days the MCSC mail room courier is scheduled to be at the PMO facility. The contractor shall deliver mail received from the MCSC courier to the PMO addressee. The contractor shall unpack, store, inventory, and organize office supplies.

Education/Experience:

  • High School Diploma
  • (6) years of demonstrated experience.

Specific/Preferred Requirements:

  • Knowledge of various regulations, manuals, and guidelines essential to the Department of the Navy and Marine Corps operations such as DON Correspondence Manual (SECNAV M-5216.5), MCO 5216.20B HQMC Supplement to the DON Correspondence Manual, GPO Style Manual, Marine Corps Records Management 5210.11F, JTR Regulations, ODTA and DTS processes and procedures, JPAS, MOL, VIPER, and MS 365 suite of tools.
  • (6) years work related experience
  • Minimum Clearance Required: SECRET
  • This support shall be provided onsite at the Government facility located in Quantico/Stafford, VA
