We are currently looking for a full-time Administrative Assistant at our College of Allied Health. The Administrative Assistant provides clerical support to the faculty and staff of the College of Allied Health and assists the Dean and Program Directors in handling a wide variety of administrative functions, ensuring the smooth and effective operation of the program. This position also monitors the front desk at the DuPont location, ensuring only designated individuals enter the building and that packages and mail are properly received.
Hours for this position are Monday-Friday 7:30 am-4 pm. Some evenings and weekends may be required.
Responsibilities of the position include:
- Types documents such as tests, syllabi, quizzes, and all other correspondence as requested by the COAH faculty and staff.
- Assists the Dean in preparing documents and reports, including gathering data, typing reports, binding materials, etc.
- Assists the Dean and Program Directors with documentation needed for programmatic and SACSCOC accreditation.
- Updates faculty professional development files with annual CEUs and annual licensure renewal verification.
- Assist students with questions and direct them appropriately when unable to address the request or question.
- Maintains all office equipment, scheduling maintenance as needed and maintains an appropriate stock of office supplies.
- Archives and labels instructor/student paperwork for storage.
- Creates and distributes minutes for all College of Allied Health faculty meetings.
- Coordinates/assigns classroom/lab availability and scheduling, meeting with Dean and Directors
- Coordinates quarterly pinning ceremony, creates programs, schedules and prepares venue.
- Coordinates drug screening schedules.
- Coordinates student COVID-19 vaccine verification.
- Assists the Dean and Program Directors with accreditation site visit planning
- Works with Dean to complete quarterly payroll spreadsheet and assists dean in processing Personnel Status Reports (PSRs) and Pay Adjustment Forms (PAFs) as necessary.
- Processes student terminations (record in student records spreadsheet) and sends certified letters.
- Coordinates with faculty and schedule make-up exams (rooms-availability-times).
- Monitors the front desk at DuPont ensuring only designated individuals enter the building and that packages and mail are properly received.
- Submits work order requests for the DuPont building.
- Assists in handling messages and phone calls for the College of Allied Health.
- Performs other duties as assigned.
- Minimum of an associate degree in a related field preferred
- Three years of administrative experience
- An equivalent combination of education and work experience may be considered.
- Excellent writing, oral communication, multi-tasking, organization and people skills.
- Proficient computer skills with specific emphasis on Microsoft Office programs and Student Information System.
- Ability to coordinate multiple work assignments simultaneously and efficiently while meeting required deadlines.
- Must be able to sit and/or stand for extended periods of time.
- Must be able to hear and speak well enough to communicate with students, faculty, and staff face to face and via the telephone.
- Ability to accurately type 50 wpm.
- Ability to maintain confidential and sensitive information.
- Detail oriented
- Ability to present in a professional appearance and maintain composure in a stressful environment.
- Ability to sit and/or stand for extended periods of time.
- Able to hear and speak well enough to communicate with students, faculty, and staff face to face and via the telephone.
