About This Position

Description:

Site Coordinator — Clinic Operations

AICA Orthopedics — Metro Atlanta — $50,000–$60,000 + Bonus

Full-Time • Salary, Exempt • Medical, Dental & Vision • Paid Time Off • Path to Practice Manager

The Role

AICA Orthopedics is hiring a Site Coordinator to lead daily clinic operations at one of our 21 metro Atlanta locations. Base salary $50,000–$55,000 plus performance bonus.

You are accountable for patient flow, staff performance, front desk execution, and patient experience. Scope varies by location:

  • Smaller clinics: you are the senior on-site leader, operating independently with remote Practice Manager support
  • Larger clinics: you own daily operations alongside an on-site Practice Manager

Who We're Looking For

We hire from two directions — experienced front desk leads ready to step into their first formal leadership role, and clinic supervisors or medical office leads from other organizations. The profile is the same either way:

  • Direct and consistent with your team — you give feedback and follow through
  • Steady in a high-volume, fast-paced clinical environment
  • Able to coordinate both administrative and clinical staff coverage simultaneously
  • Familiar with personal injury or orthopedic patient populations, or ready to learn quickly

Our clinics serve personal injury patients and our front desk staff cross-train as therapy technicians. If you have managed in a similar environment before, you will recognize it immediately.

What You're Responsible For

Operations

  • Manage patient flow and staff positioning to keep the clinic on schedule
  • Oversee front desk accuracy — scheduling, insurance, check-in, and collections
  • First point of escalation for patient concerns and operational issues
  • Ensure HIPAA compliance and AICA operational standards

Team Leadership

  • Supervise and coach front desk and clinical support staff daily
  • Manage schedules, coverage, and new hire training
  • Give direct feedback and hold your team to a clear standard

Performance

  • Track daily KPIs — visit volume, wait times, collection rates — and act on what you see
  • Maintain patient experience standards at every interaction
  • Keep your Practice Manager informed on performance trends and operational needs

Qualifications

Required

  • 2+ years of medical front desk or clinic operations experience
  • 1+ year supervising or leading a team in a clinical setting — formal title or demonstrated responsibility both count
  • EMR proficiency; NextGen preferred
  • Strong organizational skills in a high-volume environment

Preferred

  • Orthopedic, multi-specialty, or personal injury clinic experience
  • Clinic-level KPI tracking and reporting experience
  • Bilingual English and Spanish
