About This Position
JOB SUMMARY
We are seeking an experienced, highly organized, and detail-oriented Talent Acquisition & HR Specialist to support our talent acquisition efforts and the daily operations of a fast-paced Human Resources function. This role is heavily recruiting-focused, with responsibility for managing the full recruiting coordination lifecycle, candidate sourcing and experience, job postings, resume screening, interview logistics, and hiring manager follow-up. In addition, this role provides essential HR administrative support across onboarding, compliance, benefits logistics, employee communications, and HR operations. The right candidate is comfortable working independently in a dynamic environment, communicates exceptionally well (both verbally and in writing), follows through consistently, and is ready to contribute immediately. We are seeking someone who is confident in their skills, comfortable taking ownership quickly, and excited to step into a role where they can contribute without extensive training. This role is best suited for someone who has worked in the financial services industry in a similar capacity and who finds genuine satisfaction in being a strong individual contributor. Candidates must be based in Delray Beach or the South Florida area and available to work on-site.
KEY RESPONSIBILITIES
Recruiting & Talent Acquisition
- Proactively source and identify high-quality candidates across multiple platforms including LinkedIn, job boards, professional networks, and industry communities.
- Partner closely with hiring managers to understand role requirements, candidate profiles, and hiring priorities.
- Post and manage job openings on internal and external job boards
- Build and maintain strong talent pipelines for current and future hiring needs.
- Screen candidates to assess qualifications, experience, and cultural alignment prior to hiring manager review.
- Coordinate all interview scheduling with candidates and hiring managers
- Ensure an exceptional, professional candidate experience throughout the hiring process
- Maintain regular communication and follow-up with hiring managers on candidate status and interview feedback
- Track sourcing activity, candidate engagement metrics, and pipeline progress in the ATS.
- Assist with offer letter preparation and pre-employment onboarding coordination
- Partner closely with the Head of HR and HRBP to keep searches moving efficiently and proactively
- Stay current on market trends, compensation benchmarks, and competitive talent landscapes.
- Support recruiting efforts for intern programs and entry-level hiring initiatives
HR Operations & Administrative Support
- Support onboarding logistics for all new hires, including paperwork and first-day readiness
- Complete employment verification requests
- Ensure compliance with labor law posting requirements across the firm
- Assist with benefits open enrollment logistics, including tracking forms and system updates
- Help respond to basic employee questions regarding policies, PTO, and benefits, or route them appropriately
- Assist with payroll follow-ups, corrections, and simple adjustments under supervision
- Serve as a backup resource for payroll support when needed
- Prepare documentation for internal, external, and regulatory audits
- Support employee recognition programs and employee event coordination
- Complete special projects and administrative requests as assigned
Employee File Digitization & Compliance Support
- Lead the ongoing initiative to convert physical employee files into a secure digital format
- Review, scan, label, and upload documentation in alignment with record retention and audit standards
QUALIFICATIONS
- A minimum of 3 years of direct, hands-on experience supporting recruiting coordination and HR operations in a fast-paced environment
- Demonstrated experience managing interview coordination, candidate sourcing, and onboarding logistics with minimal supervision
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Proven ability to manage multiple priorities independently while maintaining excellent follow-through
- Comfort working with confidential and sensitive information
- Strong proficiency in Microsoft Office; HRIS/ATS experience preferred
- Ability to work both independently and as part of a small, highly collaborative HR team
- Bachelor’s degree required
- Financial services industry experience preferred
