Job Purpose: The Administrative Assistant provides administrative support to both the Human Resources Manager on personnel/recruitment matters. Attend to visitors and deal with inquiries on the phone and in person.
Essential Functions
1. Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain a professional image.
2. Performs customer service functions by answering telephone calls, employee requests, and questions.
3. Greet persons entering the organization and direct them to their correct destination
4. Works with Human Resources Manager to develop and run advertising programs (internal and external) to ensure high visibility with potential candidates.
5. Develops and maintains an excellent relationship with internal and external candidates to ensure achievement of staffing goals.
6. Maintains Safety Data Sheet (SDS) database; uploads new products and/or archives products no longer used.
7. Supervises the employee uniform distribution to include new employee enrollment as well as employee concerns and problems associated with their uniforms or t-shirts.
8. Manages the company leadership library and keeps an accurate account of all materials.
9. Responsible for planning special employee events such as Christmas party, meals, working lunch meetings, etc.
10. Schedule appointments and conference room(s) use as needed.
11. Receive and distribute mail and deliveries.
12. Assist with employee travel arrangements as needed.
13. Performs other related duties as required and assigned.
Additional Responsibilities
1. Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
2. Negotiates the purchase of office supplies and furniture, office equipment etc., in accordance with company purchasing policies and budgetary restrictions.
3. Special projects as assigned by upper management.
4. Records and distributes minutes from All Employee Meetings.

1. High school diploma or equivalent.
2. Three years of increasingly responsible work experience in a clerical support position; or any combination of education, training and experience that demonstrates the ability to perform the duties of the position.
3. Maintains high standards of confidentiality.
4. Excellent written and verbal communication skills, with the ability to clearly communicate detailed information to customers, coworkers and management.
5. Excellent customer service skills with the ability to interact in a positive and professional manner to develop and maintain strong working relationships with customers, coworkers and management.
6. Ability to read and interpret documents such as invoices, procedure manuals and job instructions.
7. Ability to write routine reports and business correspondence.
8. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate figures and amounts such as proportions and percentages.
9. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
10. Ability to manage time effectively and prioritize tasks to meet deadlines.
11. Strong attention to detail and organizational skills.
12. Ability to operate computer and computer software, to include Microsoft Office.
13. Ability to use department equipment such as computer, fax machine, copy machine, and telephone.
