Oncology Medical Office Assistant

Position Summary

The Pelvic Floor & Continence Center Oncology Medical Office Assistant (PFCC OMOA) is an expanded role covering responsibilities within the provider clinic setting. Responsible for assisting in day to day clinical and front office operations in Pelvic Floor & Continence Center. The PFCC OMOA assists with patient and provider scheduling and document management per guidelines. As the PFCC OMOA for the clinic, this individual serves the clinical areas, maintaining patient throughput in conjunction with providers, in addition to performing tasks in the administrative areas. Front desk, Insurance, financial services and administrative operations are required. The PFCC OMOA, in addition to clinical duties, will coordinate patient flow from the front office to the clinical area, and provide administrative support to clinical staff. Participates in unit activities to promote patient satisfaction and performance improvement. Perform other tasks assigned by Director and management.

Education

  • Associates of Healthcare – Preferred

Experience

  • 1-2 Years General Medical Office – Required
  • 1-2 years of clinical experience in a medical office setting is acceptable in lieu of certification

License & Certification

  • MA, CMT, CNA - Preferred

Core Job Functions

  1. Assist provider with ambulatory procedure setup, cleanup, and correspondence. Provide administrative support to include but not limited to preparation of correspondence and completion of document requests per protocol, scanning of documents per protocol and timelines set within and provide back-up scheduling for physical therapy and ambulatory services.
  2. Manage provider-based authorizations and acquiring the pre-authorization for physical therapy and ambulatory services. Maintain accurate electronic documentation in support of the authorization services processes.
  3. Register patient in the EMR, practice management system and hospital system when necessary. Perform all the functions of the front desk coordinator and provide backup coverage as directed. Scan registration and insurance documentation. Verification of patient demographics, insurance and other vital statistical information required to identify and submit insurance claims for PFCC services rendered. Collect information required by government and the health system for analysis as necessary. Scan required documentation to support necessary insurance and healthcare claim processing. Acquires all required patient acknowledgements and signatures for registration and care to be provided.
  4. Coordinate various forms of communication to ensure messages and correspondences are delivered to the appropriate person. Respond timely to inquiries according to protocol. Prioritize messages and follow up to assure response to urgent messages has occurred.
  5. Monitor various reports for precertification need. Perform initial review prior to date of service and concurrent review until precertification obtained. Communicate and collaborate with other departments to eliminate precertification denials. Assures fiscal compliance related to patient billing and coding. Correctly enter patient charges for services and accurately document to support charges.
  6. Perform patient and provider scheduling activities according to protocols to include but not limited to clinic visits, referral visits, diagnostic and other treatment visits. Maintain clinical schedule to assure appropriate patient flow per provider’s expectations and guidelines. Review daily authorization status with insurance representative for all patients coming to the clinic.
  7. Collects, orders and maintains inventory of practice supplies. Follows appropriate schedule templates.
