About This Position
Lollypop Farm, the Humane Society of Greater Rochester, is hiring for an Event Specialist! The Events Specialist supports the development and execution of fundraising, stewardship, and program events that engage the community in the mission and work of Lollypop Farm. This role is key to achieving the goals of annual or one-time events in alignment with Lollypop Farm's mission and strategic priorities. Yearly events include Tails of Hope Telethon, Walk for the Animals at Barktober Fest, Holiday Pet Photos, Kitten Shower, and Farm Day, as well as adoption, donor recognition, third-party, and other community engagement events that occur throughout the year.

Essential Duties and Responsibilities:
- Responsible for the logistical coordination of events, from planning stages through completion and acknowledgment and progress towards meeting financial goals
- Maintain annual plan of events, including planning timelines and event goals
- Contribute to budgeting process using historical performance and projections for future growth
- Lead event process and committee meetings
- Recruit and train new volunteer committee members
- Collaborate with the Communications team to develop promotional plans and event communications for each event
- Collaborate with the Development team to secure in-kind support, sponsorships, prizes, and other support for events, ensuring appropriate recognition and follow-up
- Oversee registration and attendance lists for events
- Maintain detailed event records and is responsible for income and expense tracking, reporting, and invoicing
- Collaborate with the Volunteer Director to coordinate volunteers to accomplish event efforts
- Secure and act as a point of contact for event vendors and contractors
- Responsible for all execution-related details, including staffing and reporting for third-party and community tabling events
- Maintain and preserve event equipment, materials, and storage areas in a neat and orderly manner
- Carry out responsibilities following all company policies and applicable state/federal laws
- Observe all safety rules and regulations for self and others
- Perform other duties as requested to meet organization needs
Education & Experience: Bachelor's degree strongly preferred. 2-3 years of communications, fundraising, or events experience strongly preferred. Experience in managing volunteer team members and vendors preferred. A combination of education and experience will be considered if aligned with the position.
Skills: Flexibility to work with changing timelines. Ability to work some evenings, weekends, or additional hours as needed to achieve event needs. Strong organizational skills, with great attention to detail. Excellent communication skills. Ability to learn company database systems. Able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands while achieving work goals. Demonstrated ability to work independently as well as in a team environment with a professional demeanor, self-reliance, and resourcefulness.
Physical Demands: While performing the duties of this job, the employee is frequently required to remain in a stationary position during shift and move throughout the building/grounds. Frequently required to communicate with others. Occasionally required to move excessive weight.
