About This Position
Responsible for providing high-level administrative support to the Tribal Chairman and Tribal Council. The Executive Assistant will carry out objectives designed to meet the short and long-term goals of the Tribal Council by working independently on a wide range of complex and confidential administrative and clerical support duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Duties may be added to, changed or deleted at the sole discretion of management:
· Writes business letters, memos, and other such correspondence as dictated by the Tribal Chairman, General Counsel, and Tribal Council.
· Prepares for upcoming council meetings and various other meetings by creating agendas, packets, and other items as needed.
· Attends and takes minutes accurately at council meetings twice monthly, council retreats and other meetings as requested.
· Schedules and coordinates all Council requested retreats and annual meetings.
· Maintains current and archived Tribal Council records physically and digitally in an efficient documentation filing system. Prepares a wide variety of documents and presentations by computer, fax machine, or copier. Creates and organizes files as necessary.
· Arranges for office machine maintenance as needed.
· Maintains and schedules conference room by recording requested use in calendars and assisting in the setup and cleanup of meetings.
· Acts as a point of contact between executives and internal/external clients by scheduling meetings, arranging conference calls, distributing material, and planning events.
· Responds promptly to managers inquires.
· Tracks Tribal Council schedules, makes appointments and regularly updates calendar whenever possible.
· Makes travel arrangements for tribal office staff and Tribal Council attending out-of-town tribal business meetings, and/or conferences.
· Runs company errands as needed.
· Provides reception coverage in emergency scheduling needs.
· Uphold a strict level of confidentiality

SUPERVISORY RESPONSIBILITIESAssists department manager and supervisor in absence of the department manager.
QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily and meet the requirements listed below that represent knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCEHigh school diploma or general education degree (GED); and one (1) to three (3) years related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLSAbility to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present and provide information and respond to questions from groups of managers, clients, customers, and the general public.
MATH SKILLSAbility to work with mathematical concepts such as discounts, interest, fractions, ratios, commissions, proportions, and percentages. Review and/or audit internal documents to ensure accuracy of purchases, revenue, and errors of transaction.
REASONING ABILITYAbility to solve complex problems and deal with a variety of uncertain variables in situations where only limited standardization exists. Ability to interpret, communicate, and delegate instructions furnished in written, oral, diagram, or schedule form. Ability to quickly evaluate alternatives and suggest a plan of action as necessary.
COMPUTER SKILLSTo perform this job, successfully, an individual should have knowledge in basic computer skills; Outlook e- mail, internet, printing, faxing and copying.
CERTIFICATES, LICENSES, & REGISTRATIONSMust qualify for and maintain an Elk Valley Rancheria Gaming license and currently have a valid drivers license.
The following trainings will be offered post-employment and are required within the training schedule timeframe: sexual harassment prevention, prevention and managing computer related injuries, driving safety, safety orientation, workplace violence, back safety, hazard communication, cyber security, bloodborne pathogens, office safety and office ergonomics.
