About This Position
Job Summary:

As the Design Team Coordinator, you’ll embody this approach by assisting your team as follows.
Duties/Responsibilities:
- Integrates Design+Build processes and creates forms and templates for team use.
- Review milestone checklists for completion.
- Assemble and manage team workforce chart.
- Assemble and manage milestone dates for active projects list.
- Create agendas and take minutes for projects regularly.
- Assist Design team members with scheduling events, activities, and travel accommodations.
- Maintain shared design team calendar of due dates, etc.
- Upload (and organize) plans, specifications, sketches, contracts, permits, closeout documents, and warranties into the system for use and archive.
- Create job numbers and folders for each new job.
- Maintain record drawings sets for projects.
- Generate and submit billings to owners.
- Manage consultant invoicing.
- Run and distribute monthly billing reports for Project Managers to review.
- Generate monthly projection reports and metrics.
- Review insurance certificates and ensure compliance is up to Hutton standards.
- Send out Hutton’s W-9 to vendors as needed.
- Order and maintain Design Team office supplies and material samples.
- Manage professional organization memberships, continuing education and licensure for design team members and the company.
- Work with Architects to prepare technical specifications.
- Coordinate client hospitality.
- Coordinate student shadow day(s) and other related recruiting activities.
- Create project team rosters for owners.
- Create and distribute misc. design team communications.
- Generate contracts for review and distribution.
Education and Experience:
- High school diploma or GED required.
- Associate’s degree preferred.
- Minimum four years of experience in a professional office environment. Experience in an AEC (architecture, engineering, construction) firm preferred but not required.
Required Knowledge/Skills/Abilities:
- Intermediate computer skills including Microsoft Office Suite (Word, Excel, PowerPoint, OneNote, Teams, Project) and ability to learn Monograph (design resource planning software) and CMiC (construction industry software).
- Familiarity with Bluebeam (or similar PDF editor) preferred but not required.
- General knowledge of cloud-based operations for the exchange of information.
- Service-rooted attitude, helping others when needed.
- Knowledge of Accounts Payable and Receivable.
- Superior organizational and analytical skills with keen attention to detail.
- Ability to communicate effectively both verbally and written with others inside and outside of the organization.
- Ability to comply with instructions, procedures, standards, and policies using professional discretion.
- Excellent time management skills, good judgement, problem solving, and analytical abilities.
- Ability to work independently as well as collaboratively within a team environment.
- Self-starter, detail-oriented, organized, and can work effectively with minimal supervision.
Work/Physical Environment
- Ability to remain in a stationary position within an office environment
