Colliers | Wisconsin is seeking a Senior Client Services Coordinator to be the trusted operational partner for one of our top-producing brokerage teams. This is a highly visible, respected role where your expertise directly impacts deal execution, client experience, and broker success.

About the role

In this role, you are not “support in the background.” You are a key partner to brokers, clients, attorneys, and internal teams. Your work keeps transactions moving, ensures nothing falls through the cracks, and allows brokers to focus on strategy and relationships.

This position is ideal for an experienced brokerage administrator, transaction coordinator, or a former residential or commercial real estate agent who prefers execution, organization, and client service over prospecting.

What you will do

Transaction management and brokerage support

  • Coordinate commercial real estate transactions from listing through closing, including leases, renewals, amendments, and sales
  • Prepare and manage transaction documentation, timelines, approvals, and critical dates
  • Track deal progress and proactively ensure deadlines are met
  • Serve as a primary point of contact for brokers, clients, attorneys, and internal partners
  • Maintain organized, accurate transaction files and records

Marketing and client materials

  • Prepare offering memorandums, proposals, presentations, and marketing materials
  • Customize and format materials using InDesign, Adobe, PowerPoint, or similar tools
  • Ensure all materials align with Colliers branding and quality standards
  • Support property listings, client pitches, and internal reporting needs

Operational excellence

  • Provide high-level administrative and operational support to the brokerage team
  • Manage multiple priorities with strong attention to detail and follow-through
  • Anticipate broker and client needs and proactively solve problems
  • Identify process improvements that increase efficiency and reduce errors
Requirements:

Who this role is a great fit for

  • An experienced broker admin or transaction coordinator ready for a senior, trusted role
  • A former residential or commercial real estate agent who enjoys transactions and client service more than sales
  • Someone who takes ownership, values collaboration, and cares deeply about doing things right

What we are looking for

  • Typically 5+ years of experience in broker administration, transaction coordination, client services, or commercial real estate, or prior experience as a residential or commercial real estate agent
  • Strong understanding of commercial real estate transactions and documentation
  • Exceptional organizational skills and attention to detail
  • Experience creating marketing and presentation materials using InDesign, Adobe, PowerPoint, or similar tools
  • Confident communicator who works well across teams and with clients
  • Ability to manage multiple transactions and deadlines in a fast-paced environment
  • Real estate license is a plus, not required
