About This Position
The right candidate will be as comfortable working in a technical and logistics support role behind the scenes as they are coordinating during a fast-paced public event. The Event Programming Coordinator must be able to work independently as well as collaboratively, make thoughtful decisions quickly during a live event, and work cohesively within a collaborative team. This is a 35-hour/week, full-time position that requires frequent evening and occasional weekend hours.
Key Responsibilities:
Execute event logistics from planning through on-site delivery
Manage event software systems, website publishing, and ticketing platforms
Create comprehensive event documentation including instructions, checklists, and speaker materials
Serve as primary liaison to speakers and performers, coordinating travel, accommodations, and honoraria
Provide responsive front-line communication through events inbox and phone line
Deliver exceptional customer service as a key public-facing representative
Qualifications
Bachelor's degree in arts administration, communications, or related field preferred
1-2 years of experience in event coordination or similar role
Ability to work flexible hours, including evenings and weekends, as required.
Proficiency with event management software and ticketing systems
Excellent organizational skills with strong attention to detail
Outstanding written and verbal communication abilities
Ability to work independently, as well as collaboratively across an organization
Demonstrate a proactive and creative mindset, capable of thinking on feet and make sound decisions quickly
Well-developed emotional intelligence and interpersonal skills for dealing with a full range of event participants and handling extensive public contact with courtesy, tact, discretion, and judgment.
Experience in cultural or educational institutions preferred
