Scheduling Co-ordinator Home Support Services

When you get it right, a vulnerable person gets consistent, dignified care. When you get it wrong, they feel it immediately. In home care, the schedule is the care.

We're looking for a Scheduling Co-ordinator who understands that.

The details

  • Location: Office-based Blanchardstown, Dublin 15 or Kimmage, Dublin 12, with participation in the on-call rota (one weekend per month)
  • Contract: Permanent part-time (20 hours/week) or full-time (40 hours/week)
  • Salary: 36,000 39,000 pro rata, depending on experience
  • Reports to: Business Support Manager Capacity & Planning
  • Pay cycle: Fortnightly

What the role involves

You'll be responsible for daily rostering, shift assignment, and call scheduling for a defined group of clients and carers across Dublin, Kildare, and Wicklow. Day to day:

  • Building and maintaining carer rosters published a minimum of 7 days in advance, every visit assigned before the roster goes live
  • Managing same-day changes: sick leave, cancellations, emergency cover making sure no client is left without care
  • Monitoring clock-in compliance in real time and acting immediately when something doesn't look right
  • Communicating changes to carers and clients promptly, clearly, and with respect
  • Maintaining accurate records in OneTouch because your data drives billing, payroll, compliance, and the care itself

This is a high-volume, fast-paced environment. The phone doesn't stop. Plans change constantly. Pressure is the norm. But the standard doesn't flex because it's a busy Monday. The client still needs their carer to show up.

Who we're looking for

You're organised, efficient, and precise but you also understand what the schedule means for real people.

You see clients, not just calls. When you assign a visit, you think about who's walking through that door. Continuity matters to you not because it's a KPI, but because you know what it means when a client sees a familiar face.

You own your work. When you publish a roster, you've checked it. When you make an error, you say so, fix it, and figure out how to prevent it next time. You produce accurate work because that's your standard, not because someone's watching.

You stay ahead of the day. You spot Thursday's gap while it's still Tuesday. You think ahead because reactive scheduling creates the crises.

You communicate well and treat people well. Carers depend on you for their schedule. They deserve clear information, delivered with respect. So do clients and families. You don't lose your professionalism when the pressure builds.

You escalate properly. "I have 12 unassigned calls for tomorrow and I've exhausted cover options" is an escalation. "It's too busy" is not.

What you'll need

  • You must have current eligibility to work in Ireland this is a non-negotiable requirement
  • Experience in scheduling, rostering, or coordination ideally in home care or healthcare, but comparable operational environments considered
  • Working knowledge of scheduling or care management systems (OneTouch is a strong advantage)
  • Proficiency with Microsoft 365 (Outlook, Teams, basic Excel)
  • Excellent attention to detail this is the core competency, not a line we put in every ad
  • Strong communication skills professional, clear, and courteous
  • Ability to work under sustained pressure without letting accuracy slip

Desirable:

  • Familiarity with HSE service specifications or home care regulatory requirements
  • Experience with GPS-verified scheduling or clock-in compliance monitoring
  • Understanding of continuity of care and recurring roster principles
