Overview

As a TAG Administrative Travel Specialist, you will provide essential administrative and travel coordination support to Naval Special Warfare Group Eight and its subordinate commands. As an Administrative Support Specialist, you will ensure execution of travel planning, logistics, and garrison support functions across multiple geographically dispersed units. You will assist in maintaining operational readiness by managing travel requirements, supporting administrative processes, and coordinating sustainment activities for commands in Pearl City, Hawaii; Virginia Beach, VA; and Coronado, CA.

Security Requirement:

· Must possess SECRET Security Clearance at time of appointment.

Roles and Responsibilities:

  • Review and correct travel documentation and maintain data from the Defense Travel System (DTS).
  • Perform administrative services and assist with the Naval Special Warfare Defense Travel System daily deployment reporting input and verification status updates.
  • Responsible for all Temporary Assigned Duty (TAD) travel requests and “no costs orders” for command personnel.
  • Process data from DTS reports
  • Responsible for assisting with military and civilian travel payments, voucher preparation and administrative maintenance of DTS.
  • Analyze and audit travel reimbursement vouchers for completeness, and accuracy.
  • Screen and verify all receipts for vouchers in DTS.
  • Serve as a liaison with the Consolidated Travel Office (CTO) for arrangement of travel to localities internal and external to continue-Continental United States (CONUS) and Outside Continental United States (OCONUS) operations.
  • Assist in processing the submissions of travel vouchers via DTS by military and DoD civilian personnel after receiving travel claims. Ensure vouchers are correct and comply with Joint Travel Regulations (JTR). Contacts travelers regrading receipt or erroneous documentation required for payment processing.
  • Provide technical travel and DTS guidance to military personnel for deployments and special exercises. Responsible for training travel personnel in a high turnover environment.
  • Serve as a Non DTS Entry Agent (NDEA)
  • Serve as an alternate Agency Program Coordinator (APC) supporting all functions associated with the Government Travel Charge Card (GTCC).
  • Track, follow-up and file documentation that supports letters of appointment (DD577).
  • Review and route cross-org requests for approval.
  • Monitor travel/GTCC balances for the NSWG8 senior leadership command.
  • Assist the Agency Program Coordinators (APCs), with the Government Travel Charge Card (GTCC) functions.

Position Requirements:

  • Possess a minimum of (4) four years of DoD travel processing experience within the past (10) ten years.
  • Possess a minimum of (4) years of experience with Microsoft Windows and Microsoft Office applications such as Excel, Word, PowerPoint and other related programs within the past (10) years.
  • Be able to possess a valid state driver’s license.
  • Be able to operate a Personal Computer (PC) with common/standard business software programs. This includes, but is not limited to, proficiency in Microsoft Office applications to include Word, Outlook, Excel, and PowerPoint.
  • Be able to enter data into multiple databases accurately and ensure data is maintained IAW controlling policy and regulation.
  • Be able to ensure consistency and appropriate cross-referencing for newly entered and previously entered data.
  • Be able to retrieve data and use data to respond to a variety of customer and vendor inquiries.
  • Be able to compile and analyze data to identify trends, deficiencies, and accomplishments related to the assigned programs.
  • Be able to perform research to determine reasons for patterns of transaction errors and failures.
  • Be able to research problems surfaced by customers; resolve issues or route to appropriate Government personnel with information setting forth research findings.
  • Be able to produce clear and concise reports and correspondence in prescribed formats. Be able to write correspondence in a military format, and present in military format when necessary.
  • Be able to coordinate complex scheduling and multi-step processes.
  • Have experience with Federal Government systems and requirements for maintaining access to these systems.
  • Possess the knowledge and ability to interpret and understand established policies, procedures and philosophies pertaining to federal travel regulations.
  • Be able to communicate clearly and effectively with others, both verbally and in writing.
  • Possess excellent work ethic.
  • Be able to work in an environment that is fast paced while completing multiple tasks and meeting stringent timelines.
  • Possess strong attention to detail and be highly accurate in performing all tasks.
  • Be able to perform duties independently, with minimal oversight.
  • Maintain proper dress and grooming standards as applicable to a professional work environment.
  • Always exhibit professional conduct.
  • Be able to comply with all applicable Federal, DoD, Navy and United Special Operation Command regulations, instructions, directives, and policies in performance of this contract.
