Food Service Coordinator

JOB TITLE: Food Services Operations Coordinator

DEPARTMENT: Food Services

REPORTS TO: Director of Food Service

FLSA STATUS: Non-Exempt
POSITION OVERVIEW:
The Food Service Office Coordinator supports the administrative and daily operational functions of Hathaway Brown's Dining Services program. This dual capacity role combines office management responsibilities—including ordering, invoicing, and recordkeeping—with hands-on support in food preparation, service, and kitchen operations. The ideal candidate is a versatile professional who is highly organized, adaptable, and equally comfortable managing administrative details and jumping into a fast-paced kitchen environment.

KEY RESPONSIBILITIES:
Administrative Duties:
  • Maintain accurate records, including menus, allergen documentation, inventory logs, temperature logs, and vendor files
  • Prepare daily menus and special event sheets, ensuring accurate allergen and dietary information
  • Manage ordering, invoices, vendor communication, and budget tracking
  • Support staff scheduling, timekeeping, and internal communications
  • Assist with compliance requirements and monthly health and safety audits
Kitchen & Operational Support:
  • Assist with basic food preparation and meal service during peak periods
  • Maintain kitchen cleanliness, including dishwashing, sanitizing surfaces, occasional mopping and sweeping as needed and managing food waste
  • Receive, inspect, and properly store deliveries; rotate stock and monitor inventory levels
  • Adhere to all food safety, sanitation, and hygiene standards

QUALIFICATIONS:
  • High school diploma required; coursework or training in business, hospitality, or culinary arts preferred
  • Prior experience in food service and/or office administration strongly preferred
  • Proficiency with Microsoft Office and familiarity with inventory or ordering systems
  • Food handler certification (or willingness to obtain upon hire)

  • Ability to interpret safety guidelines and procedural documents
  • Sound judgment and problem-solving skills

Language Skills: Proficient in reading, writing, and speaking; capable of interpreting documents and communicating effectively with parents and staff.

Reasoning Ability: Skilled in problem-solving, data collection, and drawing valid conclusions.

Physical Demands: Regular activities include standing, walking, sitting, manual tasks, and communication. Frequent reaching, stooping, kneeling, or crawling; occasional climbing or balancing. Must be able to lift up to 25 lbs frequently and up to 50 lbs occasionally. Reasonable accommodations available for individuals with disabilities.

Work Environment: Typically moderate noise levels; accommodations provided as needed.
