Position Information


Under the general direction of the UCR Extension Director of Student Experience & Facility Services, the Assistant Registrar (Registrar Supervisor 1) manages daily Student Services operations in a high-volume continuing education environment serving domestic and international students. The unit processes approximately 12,000 enrollments annually and functions as the primary point of contact for registrar-related services. This role plays a critical part in shaping the first impression and reputation of University Extension. This is a full-time, 100% in-person role to ensure seamless customer service and operational continuity. The Assistant Registrar supervises a team of full-time staff and student assistants, overseeing workflow, service delivery, and staff performance to ensure efficient, accurate, and student-centered operations. The role is responsible for maintaining the integrity, accuracy, and confidentiality of student academic records, including enrollments, verifications, transcripts, and related documentation, in compliance with FERPA and University policies. The incumbent interprets and applies policies, advises staff on complex student issues, and resolves complaints, petitions, and exceptions in consultation with leadership as needed. The Assistant Registrar oversees registration operations, including enrollment processing, student account transactions, and data entry, ensuring compliance with internal controls and audit standards. The role also establishes and maintains standard operating procedures and ensures consistent application of policies across the unit. As a key stakeholder in UCR Extension facility operations, the Assistant Registrar supports daily coordination of instructional spaces, including classroom management, room assignments, and instructional support activities. The incumbent also provides backup support to Facility Services leadership by coordinating with third-party vendors and property management to maintain operational readiness. In collaboration with departmental leadership, the Assistant Registrar evaluates processes and recommends improvements to enhance efficiency and service delivery. The position serves as a resource to leadership, faculty, and administrative partners on enrollment management and student records.The full salary range for the Assistant Registrar & Manager of Records and Enrollment (Front Office) is $62,900 - $110,100 annually. However, the expected pay scale for this position is up to $72,000 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff.As a University employee, you will be required to comply with all applicable University policies and/or collective bargaining agreements, as may be amended from time to time. Federal, state, or local government directives may impose additional requirements.

Minimum Requirements
Working knowledge of policies, regulations, and practices with registration management, student records management and retention.
Specialized knowledge of particular Registrar core function(s).
Ability to interpret policy and develop procedures to ensure compliance in a diverse learning community.
Working knowledge of advising and counseling techniques to deal with challenging issues from constituents.
Problem identification, critical thinking, and problem solving skills; judgment and decision-making ability. Ability to assess processes and implement improvements.

Working knowledge of University policies, processes, and procedures, including those related to supervising employees, and of Federal and California laws pertaining to the privacy rights of students and access to student information.
Working knowledge of common University-specific computer application programs.
